Job summary

Rebound Orthopedics & Neurosurgery seeks a full-time Clinic Supervisor for its PMR team in Vancouver, WA. You will supervise and develop front/back office and clinical staff, recruit and onboard personnel, and manage daily operations to ensure high-quality patient care and policy compliance.

The role requires five years of clinical experience with supervisory responsibilities, knowledge of HIPAA, and travel across Washington/Oregon locations as needed.

Qualifications

  • Five years of experience in a clinical setting, supervising staff and coordinating clinic operations.
  • BLS certification and WA Medical Assisting certification/education if required.
  • Strong interpersonal and organization skills with HIPAA compliance awareness.
  • Experience with staff recruitment, onboarding, training and performance management.

Responsibilities

  • Supervise the clinic staff across front and back office and clinical roles.
  • Recruit, hire, train and evaluate staff; manage timecards and overtime approvals.
  • Coordinate daily staffing plans and schedules; oversee workflow and patient care quality.
  • Provide coaching and performance feedback; address patient concerns and safety policies.
  • Collaborate with Director/COO and other leaders to implement policies and improve processes.
  • Attend meetings and maintain confidentiality per HIPAA rules; support office operations.

Job description

Rebound is hiring a full-time Clinic Supervisor to join our amazing Physiatry (PMR) team in Vancouver, WA. The Clinic Supervisor is responsible for the supervision, recruiting, onboarding, training, staff management and education of Rebound’s registration representative, medical assistant, unit coordinator, site coordinator and front office staff at assigned offices. They will also direct staff activities to ensure high quality patient care and compliance with established clinic protocols and human resources policies, and are responsible for site performance and financial management.

The ideal candidate will possess great organizational skills and energy, a can-do attitude, a desire to learn the practice, and a collaborative team spirit. The candidate will also possess excellent interpersonal skills, a superior commitment to patient care, and the ability to work closely with patients and physicians. This position will be based out of our Vancouver location, though occasional travel will be required between all Washington and Oregon locations.

Responsibilities:

  • Recruit, hire, train and supervise the clinic front office, back office and clinical staff at designated clinic location.
  • Coordinate with other clinic leaders in the development and implementation of the daily work schedule and staffing plans. Responsible for processing of timecards, and approval of time off requests. Authorize overtime for staff. Ensure staff take required breaks and lunches.
  • Work in designated offices as a medical assistant, unit coordinator or front office staff as needed up to approximately 80% of the regular work week as determined by staffing and direct supervisor.
  • Supervise and oversee the daily operations and work flow.
  • Coordinate with other supervisors and managers in supervision of daily operations.
  • The expectation to deploy ancillary staff, in cooperation with ancillary manager.
  • Establish performance expectations and conduct staff evaluations to include setting appropriate individual goals.
  • Enforce policies and procedures, including safety and professional behavior.
  • Responsible for coaching and performance management. Provide regular feedback.
  • Respond to patient complaints in a timely and appropriate manner. Troubleshoot, manage and report patient issues.
  • Work with Director, COO, and other leaders to create and implement new policies and procedures, efficient work flows, resolve patient concerns, and support patient care needs.
  • Act as a resource for staff.
  • Supervise procedure and/or study scheduling as appropriate for location.
  • Act as a resource for staff, Director and COO.
  • Identify and solve physician concerns, questions, and suggestions.
  • Attend lead meetings and other meetings as appropriate.
  • Maintain a high degree of confidentiality and abide by all HIPAA rules and regulations.
  • Perform other duties as assigned.
Requirements:

High School Diploma or equivalent. Bachelor’s degree preferred. Graduate from a Medical Assisting required.

Certificate/License:

BLS Certification. Valid Washington State certification to practice Medical Assisting (CM) required.

Experience:

Five years of experience in a clinical setting working directly with patients and medical providers. Previous supervisory and Epic EHR experience strongly preferred.

Requirements:

Must be able to travel between offices in Oregon and Washington.

Knowledge, Skills & Abilities:

Knowledge of examination, diagnostic, and treatment room procedures. Knowledge of common safety hazards and precautions to maintain a safe work environment. Skill in assisting in a variety of treatments and medications as directed. Skill in taking vital signs. Skill in maintaining records and recording test results. Skill in establishing and maintaining effective working relationships with patients, medical staff, and the public. Ability to maintain quality control standards. Ability to react calmly and effectively in emergencies. Ability to read, understand and respond to detailed oral and written instructions. Ability to communicate clearly.
