Position Overview
Living Water Clinic – Clínica Agua Viva is seeking a Clinic Supervisor to provide daily operational leadership and support at one of our clinic locations.
Essential Responsibilities
Clinic Operations & Patient Flow
- Oversee daily operations, staffing assignments, breaks, lunches, and coverage.
- Monitor patient flow, provider schedules, wait times, and clinic capacity.
- Identify workflow concerns and take appropriate action or elevate when needed.
- Ensure staff follow established scheduling, registration, rooming, documentation, and patient-service workflows.
- Conduct routine clinic rounds and monitor clinic readiness, supplies, equipment, required logs, postings, and emergency resources.
Staff Leadership & Development
- Provide daily supervision, coaching, direction, and follow-up to assigned staff.
- Support onboarding, training, competency development, and performance evaluations.
- Promote professionalism, accountability, teamwork, and respectful communication.
- Address routine employee performance, attendance, conduct, and workflow concerns.
- Communicate significant concerns to leadership and Human Resources as appropriate.
- Ensure staff perform duties consistent with their training and assigned responsibilities.
Patient Experience
- Promote a professional, respectful, and patient-centered environment.
- Assist with resolving patient concerns and complaints within the scope of the position.
- Identify opportunities to improve patient experience and clinic efficiency.
- Support effective communication between patients, providers, and staff.
Compliance, Safety & Quality
- Support compliance with Living Water Clinic policies, procedures, and regulatory requirements.
- Support HIPAA, infection prevention, workplace safety, emergency preparedness, and workplace violence prevention standards.
- Assist with internal and external audits, surveys, corrective actions, and survey readiness.
- Monitor assigned corrective actions and help prevent repeat deficiencies.
- Support applicable laboratory, vaccine, medication-storage, and point-of-care testing requirements.
- Participate in quality improvement initiatives and monitor operational indicators such as patient volume, wait times, scheduling, attendance, complaints, and audit findings.
- Promptly communicate significant safety, compliance, staffing, or regulatory concerns to leadership.
Regulatory Knowledge
The Clinic Supervisor supports compliance with applicable CMS Rural Health Clinic requirements, California healthcare regulations, Medicare and Medi-Cal requirements, contracted payer requirements, HIPAA, Cal/OSHA, CLIA, vaccine-storage requirements, and Living Water Clinic policies and compliance standards.
Formal regulatory interpretation, clinical decisions, significant HR matters, and major compliance concerns should be referred to appropriate leadership.
Supervisory Authority
- Assign and redirect daily staff duties.
- Coordinate staffing and clinic workflow.
- Provide coaching and operational direction.
- Address routine patient and staff concerns.
- Correct immediate workflow, safety, and compliance issues.
- Recommend additional training or corrective action.
The Clinic Supervisor does not independently change organizational policies, alter provider templates without approval, make compensation decisions, terminate employees, or make clinical decisions outside their professional scope.
Minimum Qualifications
Required:
- High school diploma or equivalent.
- Minimum three years of experience in a medical office, outpatient clinic, or similar healthcare setting.
- Knowledge of clinic operations, patient flow, scheduling, and staff supervision.
- Experience using an Electronic Health Record (EHR) system.
- Strong communication, organization, leadership, and problem-solving skills.
- Ability to maintain confidentiality and handle sensitive situations professionally.
- Strong attention to detail and follow-through.
- Bilingual English/Spanish.
Preferred:
- At least one year of leadership or supervisory experience.
- Experience in a Rural Health Clinic, FQHC, or primary care setting.
- Experience with Athenahealth/Athena EHR.
- Familiarity with Medicare, Medi-Cal, CMS Appendix G, and managed care requirements.

Schedule & Travel
Regular and reliable attendance is required. Work hours may vary based on clinic operational needs. Occasional travel between Living Water Clinic locations may be required for coverage, meetings, training, audits, or other organizational needs.
