Job summary

ACHC is seeking a Supervisor to provide frontline leadership for a designated clinic team. You will oversee daily workflow, monitor productivity and quality, ensure policy compliance, and coach staff in real time to meet organizational standards.

This role supports the Site Manager, may supervise a single site or multiple locations, and involves scheduling, timecard approvals, coaching, and performance feedback. Travel is minimal.

Qualifications

  • High school diploma or equivalent required; associate’s degree preferred.
  • Minimum 2 years of experience in a medical office or clinic setting.
  • Prior supervisory or lead experience strongly preferred.
  • Knowledge of healthcare compliance standards.

Responsibilities

  • Oversee daily workflow for the assigned clinic team to ensure timely and accurate completion of duties.
  • Assign tasks, set priorities, and adjust workloads to maintain efficiency.
  • Ensure accurate documentation, billing, and records management.
  • Lead daily huddles; communicate workflow changes and expectations.
  • Provide coaching, feedback, and performance evaluations in collaboration with leadership.
  • Support patient service needs within the team’s scope and assist with service recovery as needed.

With clinics located across Fresno, Kings, and Tulare counties, our team works together to deliver accessible, high quality care to every patient.SUMMARYThe Supervisor provides frontline leadership for a designated functional team within the clinic. This role manages daily workflow, monitors productivity and quality, enforces policy compliance, and provides real time coaching and support. The Supervisor acts as a support to the Site Manager/Clinic Operations Manager, ensuring team performance aligns with organizational standards. This role may supervise a single site or support the Site Manager at larger or multi site locations. Minimal travel required.RESPONSIBILITIESOperational Leadership & Workflow ManagementOversee daily workflow for the assigned team to ensure timely and accurate completion of duties.Assign tasks, set priorities, and adjust workloads to maintain operational efficiency.Ensures accurate documentation, billing, and records management.Monitor productivity, service quality, and task execution; provide immediate feedback.Escalate operational concerns or barriers to the Site Manager/Clinic Operations Manager promptly.Staff Leadership & Performance ManagementProvide daily coaching, support, and directions to team members.Assist with onboarding, training, and skill development.Address minor disciplinary issues and performance gaps, escalating larger concerns to the Site Manager/Clinic Operations Manager.Participate in scheduling, coverage coordination, and timecard approval in collaboration with the Site Manager/Clinic Operations Manager.Participate in performance evaluations and provide constructive feedback to team members in collaboration with the Site Manager/Clinic Operations Manager.Communication & Staff SupportServe as a liaison between team members and the Site Manager/Clinic Operations Manager.Lead daily huddles; communicate workflow changes, updates, expectations, and organizational priorities.Support patient service needs within the team’s scope and assist with immediate service recovery as needed.Compliance, Safety & QualityEnsure team adherence to clinic policies, HIPAA, HRSA, OSHA, and health plan requirements, and all federal and state regulatory standards.Identify compliance gaps and immediately alert the Site Manager/Clinic Operation Manager to risks or incidents.Support employee and patient safety and contribute to maintaining the environment of care.Maintain Emergency Management readiness and support related preparedness activities.Support completion of required training and proper documentation within the team.Financial & Resource StewardshipMonitor routine supply use within the site and report shortages and ordering needs.Support cost-conscious resource utilization; identify inefficiencies and recommend improvements.Facility, Vendor & Environmental CoordinationReport facility, environmental, equipment, or vendor-related issues to the Site Manager/Clinic Operations Manager/Facilities.Help monitor the cleanliness and readiness of teamwork areas.Process Improvement & ImplementationSupport implementation of new workflows and initiatives by training team members and monitoring adherence.Recommend improvements that increase team efficiency, quality, or service levels.Administrative DutiesReview and reconcile daily deposits (cash/check) and ensure accuracy.Manage email and calendar priorities; respond promptly to messages and calls.Schedule and lead monthly team meetings.Assist with monitoring key performance indicators, quality metrics, patient satisfaction, and other team metrics.Other DutiesMaintain confidentiality of sensitive information.Assist with documentation and team-specific procedures as directed.Perform other duties as assigned.Education & Experience• High school diploma or equivalent required; associate’s degree preferred.• Minimum 2 years of experience in a medical office or clinic setting.• Prior supervisory or lead experience strongly preferred.Skills & Attributes• Knowledge of healthcare compliance standards.• Strong organizational and multitasking abilities.• Excellent communication and interpersonal skills.• Proficiency in EHR systems and Microsoft Office Suite.• Ability to lead by example and foster an inclusive environment.• Commitment to patient-centered care and continuous improvement.PHYSICAL/COGNITIVE REQUIREMENTSThe physical and cognitive demands listed below represent essential functions of this position and are required with or without reasonable accommodation:Hearing: Sufficient to engage with patients and staff in person and by telephone.Speaking: Clear verbal communication to convey medical and operational information.Vision: Visual acuity adequate for reading printed materials and viewing electronic screens.Cognitive Abilities: Aptitude to complete tasks, including abilities such as learning, remembering, focusing, categorizing, and integrating information for decision-making, problem-solving, and comprehending.Motor Function & Mobility:Ability to move within the work environment to complete tasks and interact with others.Occasional lifting and carrying of items up to 10 pounds without assistance.Frequent standing, sitting, bending, reaching, and other movements typical of a standard workday.Regular use of hands and fingers for typing, writing, operating tools or equipment, and handling materials.Some pushing and pulling required during daily tasks.BENEFITS403(B) matchingMedical InsuranceDental InsuranceVision InsuranceLife InsurancePaid HolidaysVacation PaySick Pay
