The ideal candidate possesses strong leadership skills, a deep understanding of medical office operations, and a background in clinical care to bridge the gap between administrative needs, business operations, and patient services.

Core Responsibilities
Personnel and HR Management
  • Team leadership: Manage, mentor, and schedule a team of 5 medical providers and 15 support staff, including medical assistants (MAs), triage nurses, and front office receptionists.
  • Talent acquisition: Handle the employment lifecycle, including hiring, interviewing, onboarding, and termination.
  • Benefits administration: Manage employee PTO tracking and facilitate employee enrollment in 401k, flexible spending accounts (FSA), health insurance, and dependent care accounts.
  • Policy development: Update and enforce current policies, and write new policies and standard operating procedures (SOPs) for the employee handbook.
Clinical Operations, Scheduling, and Compliance
  • Master scheduling: Direct and oversee the scheduling matrix for all 5 providers to maximize daily patient volume while preventing clinical burnout.
  • Staff alignment: Ensure the scheduling of the support staff aligns with peak provider hours, lunch blocks, and vacation coverage.
  • Workflow optimization: Manage clinical triage, patient flow, and daily operational bottlenecks to ensure excellent patient care.
  • Regulatory compliance: Act as the clinic’s primary compliance officer, ensuring strict adherence to HIPAA, OSHA, and labor laws.
  • Quality & ACO Reporting: Oversee clinical documentation workflows and monitor quality metrics performance to secure high scores and performance bonuses for our Accountable Care Organization (ACO).
Patient Relations and Quality Control
  • Patient experience advocate: Serve as the primary point of contact for resolving patient concerns, billing questions, and service issues with empathy and professionalism.
  • Service excellence: Monitor patient feedback and implement customer service standards to maintain high clinic satisfaction scores.
Financial and Facilities Oversight
  • Revenue cycle oversight: Supervise the billing department, accounts receivable (AR), and general revenue cycle metrics.
  • Accounts payable: Manage and execute the timely payment of clinic bills and vendor invoices.
  • IT and infrastructure: Coordinate the maintenance and troubleshooting of clinic internet, computer hardware/software, and phone systems.
Required Experience and Qualifications

To ensure success in this multifaceted role, we require a unique blend of clinical insight and administrative expertise.

  • Clinical Experience (Required): Minimum of 5 years working in a direct clinical role (e.g., Medical Assistant, Nurse, or clinical coordinator). First-hand knowledge of triage, clinical workflows, and patient care is essential to managing our back-office team effectively.
  • Administrative Experience: 3+ years of supervisory or management experience in a medical office environment, with proven exposure to medical billing/AR and clinic scheduling.
  • Preferred Degrees:
  • Bachelor’s Degree in Healthcare Administration, Business Administration, or a related field is highly preferred.
  • An Associate’s Degree in Nursing (ADN), BSN, or a Medical Assisting diploma combined with significant management experience will also be considered.
  • Certifications (Plus): Certified Professional Practice Manager (CPPM) or Certified Medical Practice Executive (CMPE) is a strong plus.
