Ackerman Urology is seeking a Patient Coordinator to support efficient, patient-centered care in our urology clinic. You will schedule appointments, obtain records, and provide administrative support to the clinical team.

Working closely with physicians and staff, you will guide patients through the care process, coordinate tests and referrals, and ensure smooth day-to-day operations.

• Provide administrative support to the clinical team and help maintain a smooth daily workflow.

Position Overview

The Patient Coordinator plays an important role in supporting efficient, patient-centered care within our urology clinic. This position helps coordinate patient care and follow-up needs, schedules appointments and physician-ordered services, obtains necessary records and authorizations, and provides administrative support to the clinical team. Working closely with physicians, providers, and clinic staff, the Patient Coordinator helps ensure patients are appropriately scheduled and navigated through the care process while supporting smooth day-to-day clinic operations.

Essential Job Functions

Care Coordination

• Coordinate and schedule patient appointments within the practice and with outside providers according to physician orders, including imaging, biopsies, laboratory testing, and other procedures
• Navigate patients through the live check out process, including scheduling follow-up care and communicating necessary updates
• Obtain external laboratory results, imaging reports, and other records prior to patient appointments
• Obtain records requested by physicians, providers, and clinical staff
• Coordinate outside referrals and obtain required authorizations
• Ensure physician-ordered tests and services have appropriate authorizations

Follow-Up & Patient Management

• Contact patients who have not scheduled recommended follow-up appointments
• Assist patients with scheduling follow-up visits, testing, procedures, and referrals
• Communicate relevant scheduling and follow-up updates to physicians, providers, and clinic staff
• Monitor outstanding physician orders and update their status as booked, in progress, or completed
• Follow up on outstanding results and records needed for continuity of care

Administrative & Clinic Support

• Provide administrative support to clinic operations as needed to promote efficiency and continuity of care
• Take patient photos as directed by the clinical team and upload them to the appropriate chart
• Ensure CT, MRI, biopsy, laboratory, and other ordered results are available in the patient chart
• Request outside medical records as needed for clinic patients
• Prepare the next-day schedule/day sheet as required
• Print progress notes and apply appropriate barcodes and ICD-10 codes as required
• Assist physicians, providers, and clinical staff with additional patient coordination needs as assigned
