Summary of Job Duties: The Clinical Operations Coordinator (Clinical Assistant) plays a vital role in supporting the daily functions of a busy dental or healthcare clinic. This position ensures seamless patient communication, efficient appointment scheduling, financial processing, equipment maintenance, infection control, and administrative support. The coordinator works closely with students, faculty, and other departments to maintain a high-quality, patient-centered clinical environment.

Qualifications:

  • Bachelor's degree PLUS five (5) years’ experience or a high school diploma and nine (9) years’ experience in a dental clinic setting.

Knowledge, Skills and Abilities:

  • Proficiency in EagleSoft or other Dental software and Microsoft Office Suite (Word, Excel, Outlook).
  • Excellent organizational, communication, and customer service skills.
  • Ability to multitask and work collaboratively in a fast-paced environment.
  • Knowledge of OSHA and infection control procedures a plus.

Preferred Qualifications:

Licenses: Registered Dental Assistant PLUS three (3) years of clinical office experience preferred, preferably in a dental setting.

Additional Information:

Responsibilities:

  • Coordinate front desk operations, including greeting patients, managing calls, assisting with forms, and updating patient records.
  • Oversee appointment scheduling through EagleSoft, including recalls, cancellations, and coordination with social and community agencies.
  • Collect and post payments, prepare daily deposits in line with UAMS/CHP procedures, and generate timely monthly, quarterly, and annual financial reports.
  • Maintain and monitor clinical equipment, report repairs, and ensure compliance with safety and radiation monitoring protocols.
  • Lead sterilization and infection control procedures, including spore testing, equipment sanitation, and OSHA compliance support.
  • Manage inventory of clinical and lab supplies, oversee ordering and restocking processes, and maintain linen and supply records.
  • Provide administrative support, including CPR record tracking, student scheduling assistance, clinic data reporting for grants, and communication with CE course participants.
