Job summary

Fairview Health Services in Minneapolis invites applications for a Clinic Check-in Coordinator at the Clinics and Surgery Center. The role is 1.0 FTE with a steady 5:30 AM to 2:00 PM, Monday through Friday, focusing on welcoming patients, collecting insurance information, guiding them to seating, and ensuring smooth check-in processes.

You will collaborate with care teams, handle registration tasks, monitor lobby activity, and support billing holds while providing excellent customer service.

Qualifications

• Post HS education or training with basic medical terminology and keyboarding skills.
• 1 year of customer service experience working with the public.

Responsibilities

• Greets and welcomes all patients and families as part of the check-in and arrival process for unparalleled experience.
• Provides information and reassurance related to any anxiety about the visit or the logistics of the day.
• Upon completion of intake work, assists the patient to the appropriate waiting area.
• Personalizes interaction and service delivery to meet guest service standards
• Monitors Care Connect information and intervenes with patient if the care team is delayed and assists the patient care team as necessary.
• Ensures that all patient pre-registration information is complete upon check in
• Ensures patients and guests have access to appropriate technology and assists them to use the devices if needed.
• Communicates effectively with all members of the care team and across departments to ensure patient care process.
• Has full responsibility for interpreter needs, visit wait coordination and monitoring, co-pay collection, and patient privacy protection during check-in.
• Anticipates patient and guest needs, offers options for increased comfort, answers requests for directions, phone numbers, personal services, transportation, etc.

Job Overview

Fairview has an immediate opening for a Clinic Check-in Coordinator at our Clinics and Surgery Center (CSC). This position is approved for 80 hours every two weeks (1.0 FTE).

Shift: Monday through Friday, 5:30 AM to 2:00 PM.

The University of Minnesota Health Clinics and Surgery Center (CSC) Clinic Check-in Coordinator team ensures that patients, their families and guests have an excellent experience at the CSC. The Clinic Check-in Coordinator serves as the first point of contact for patients and their families at the time of check in. Each member of the Clinic Check-in Coordinator team is responsible for ensuring efficient operation of patient check-in processes for the clinics they support. The team works collaboratively with clinic management and staff to support the business needs of the clinic which include, but is not limited to: checking in patients, obtaining insurance information, directing patients to appropriate seating areas, actively monitoring lobby, and working hold billing and error work queue reports during downtime. The clinic coordinator actively uses and embraces technological enhancements to support their role. They maintain a patient friendly and welcoming disposition when interacting with patients and their family. They utilize strong customer service skills and promote the organizational philosophy of patient centered care to proactively meet the needs of all patients and their families during their clinic visits and/or other interactions.

Required Qualifications

• Combination Education & Experience Post HS education or training with basic medical terminology and keyboarding skills.
• 1 year of customer service experience working with the public.
