Heffernan Insurance Brokers is seeking a Client Service Manager in St. Augustine, FL. You will deliver high-level service to Heffernan Financial clients and Advisors, enhance client relationships, and advocate for each client with a proactive, professional approach.

The role requires managing CRM workflows, compliance support, and collaboration with Advisors to strengthen client partnerships while upholding the Heffernan Habits and core values.

Qualifications

• Three plus years in financial or investment management.
• High School diploma or equivalent required.
• Series 7 registration required.
• Series 65/66 registration preferred.
• Knowledge of financial planning and investment strategy preferred.
• Notary public a plus.
• Excellent communication skills required.
• Ability to establish and maintain relationships.
• Proficient in MS Office – Outlook, Word, Excel.
• Professional demeanor per Heffernan Habits.

Responsibilities

• Create, send, process, and follow up on client paperwork in a timely fashion.
• Update and maintain client accounts in CRM and related systems.
• Process new client transfer requests and funding moves.
• Handle ACH/wire transfers, distributions, and related changes.
• Set up accounts according to risk tolerance and manage RMDs.
• Document client activity in CRM and store documents securely.
• Support compliance tasks and audit preparation.
• Distribute commission statements and input revenue into reports.
• Manage office supplies and vendor invoicing.
• Track licensing for staff and answer the main office phone.
• Strengthen client relationships and embody Heffernan Habits.
• Support Advisors and participate in meetings and events.
• Respond promptly to client requests; update voicemail daily.
• Perform other duties as assigned.
