Job summary

SMA Healthcare in Ocala, FL is seeking a clerical specialist to support behavioral health services. You will schedule appointments, verify benefits, manage documentation in SMA’s EMR, answer calls, and help with billing and data entry in a fast-paced clinic.

**Pay starts at $16.50 per hour**

Essential Job Functions:

  • Schedules appointments: collects method orsource of payment for services and obtains associated documentation,including insurance cards; assist clients in completion of intakepaperwork.
  • Verifies client's behavioral health benefitswith third party payer's/insurance companies; checks billingdocumentation for completeness, accuracy and conformity with clericalrequirements.
  • Processes a variety of department reporting,purchasing, and legal documents.
  • Updates client or program data in SMA'sapproved EMR.
  • Answers, routes, and transfers incomingcalls; assists and provides general information to callers; maintainsconfidentiality of client information; handles threats, substance abuse,suicide and crisis calls.
  • Performs client financial assessments andestablishes client fiscal information in SMA's EMR.
  • Performs fee collection duties for clientsreceiving services where applicable.
  • Adheres to professional standards as outlinedby protocols, rules and regulations.
  • Performs miscellaneous job-related duties asassigned.

Minimum Education and/or Experience: Possession of a high school diploma or GED and twoyears of related clerical/customer service/secretarial experience preferablyin a clinic/medical office setting; or any equivalent combination ofeducation, training and experience which provides the following knowledge,skills and abilities.

Knowledge/Skills/and Abilities:

  • Considerableknowledge of standard office practices and procedures, equipment and clericaltechniques.
  • Knowledgeof appropriate communication and boundaries with children and/or adults whohave serious mental health, substance abuse and psychological illnesses.
  • Knowledgeof first- and third-party registration, certification, verification, and co-payprocedures.
  • Knowledgeof State and Federal guidelines related to patient account processing.
  • Ability toorganize and maintain complex filing and records systems and ensureconfidentiality.
  • Ability tooperate a multiple line phone system and a variety of office equipment.
  • Ability tocommunicate effectively, both orally and in writing.
  • Ability tomake calculations and computations accurately.
  • Ability to proofreaddocuments, research files and logically organize information.
  • Ability toprepare Excel spreadsheets for the accurate recording of daily feecollections.
  • Ability tocommunicate effectively with suicidal, mentally, emotionally, substanceabusing and/or psychologically disturbed adults and/or children in person andover the telephone.
  • Ability tofollow verbal and written instructions.
  • Ability towork under pressure in a fast-paced working environment and to meetdeadlines.
  • Ability toestablish and maintain effective working relationships with fellow employeesand the general public.

Necessary Special Requirements: Possessionof a valid Florida driver's license, acceptable driving record, and proof ofpersonal automobile insurance if required to drive an SMA vehicle and/or usea personal vehicle for SMA business. Complete State of Florida mandatorybackground screening prior to start of employment. Complete SMA required training during thefirst six (6) months of employment and updated if required.

Physical: Mobility and ability to bend and reach during an8-12-hour day. Able to lift minimum 10 pounds. Visual and auditory acuitysufficient to evaluate, intervene, treat, and record client health careneeds. Fine motor skills for legible and accurate charting, dailycorrespondence and presentation, either manually or orally. Work enduranceability to work 8-12-hour shifts with a meal break, as possible. Routine 8-12-hour shifts. Hours and days off may vary. Extra hours may be required. Workassignment locations may vary.
