Job summary

Creative Office Resources seeks a Client Services Coordinator to manage customer orders, support sales, and coordinate ordering and receiving processes. You will be the liaison between operations and sales, tracking order status and ensuring timely delivery.

Ideal candidates possess 1–3 years of experience, a 4-year business degree, and strong communication skills. This role involves multitasking in a fast-paced office environment with exposure to warehouse and project sites.

Qualifications

Responsibilities

  • Serve as the main internal customer contact, ensuring all product knowledge and requirements are met.

  • Coordinate with Sales, Design, Project Management and Warehouse to ensure satisfaction.
  • Check orders for accuracy (cost, sell, product finishes, codes, freight, docs, ship‑to/bill‑to).
  • Ensure accuracy of manufacturer acknowledgments and shipping information.
  • Provide weekly order status reports to clients and sales.
  • Communicate with clients to provide high-level service and follow-up after delivery.
  • Monitor orders for ship dates and changes to ensure timely delivery.
  • Schedule orders, monitor shipping and installation dates, generate delivery tickets.

Job description

Summary

The Client Services Coordinator is responsible for efficient processing and handling of customer orders, supporting sales personnel, ensuring accurate and timely service to clients, and coordinating ordering and receiving processes. The role serves as the liaison between all operational departments and the sales organization, maintaining order status and conducting punch‑list follow‑up to ensure high customer satisfaction.

Responsibilities
  • Serve as the main internal customer contact, ensuring all company product knowledge and requirements are met.
  • Deepen customer relationships.
  • Maintain strong partnerships with Sales, Design, Project Management, and Warehouse to guarantee customer expectations and satisfaction.
  • Check orders for accuracy of all information (cost, sell, product finishes, key items, manufacturer codes, freight, contracts, purchase and sales documents, ship‑to/bill‑to info, COM, etc.).
  • Ensure accuracy of manufacturer acknowledgments for correct product, finishes, specials, pricing, and shipping information.
  • Maintain and provide weekly order status reports to clients and sales.
  • Communicate regularly with clients to provide high‑level service, answer questions, provide order information, perform follow‑up calls after job completion, and assist with sales support as required.
  • Track and monitor orders for ship dates, clarifications, discrepancies, and changes to ensure timely and accurate product delivery.
  • Schedule orders, monitor shipping and installation dates, and generate timely delivery tickets to the warehouse.
  • Participate in weekly sales meetings to proactively manage new orders, changes, discrepancies, punch lists, issues, backlogs, and invoicing.
  • Prepare and submit orders for invoicing on a timely basis throughout the monthly cycle.
  • Follow up on customer issues such as backorders, damaged product, and punch‑list progress using CORE scheduler.
  • Utilize technology tools such as CAP, HMI Kiosk, Order Manager, CORE, Order Status, COR Connect, and Lotus Notes databases.
  • Understand administrative processes and internal resources.
  • Know all product lines sold by COR.
  • Understand business and accounting practices impacting the role.
  • Adapt to changes in process and responsibilities as directed by management.
  • Perform other duties as assigned; duties may change with personal growth, organizational development, or technological advancements.

Physical Demands
  • Primarily sedentary work involving sitting and standing.
  • Repeating motions that may include wrists, hands, and/or fingers.
Work Environment
  • Fast‑paced office environment with daily visits to various sites including warehouse, construction sites, client sites, and offices.
