Job summary

Financial Life Advisors is a planning-first firm dedicated to lifelong client relationships. We seek a Client Service Associate to support advisors by executing client service workflows, onboarding clients to portals and digital access, and maintaining accurate documentation.

You will coordinate client requests, keep clients informed on status, escalate when needed, and help ensure a positive client experience throughout the service lifecycle.

Qualifications

  • Associate or bachelor’s degree preferred or equivalent education and experience.
  • 2+ years in client service, financial services, operations, or administrative support.
  • Financial services experience preferred.
  • Attention to detail, discretion/confidentiality, judgement, and follow through.

Responsibilities

  • Respond to client service requests professionally and coordinate follow-up on advisor commitments.
  • Provide routine account, service, and operational status updates within role scope.
  • Escalate advisor-level, relationship, planning, investment, or exception matters promptly.
  • Support a responsive, organized, and consistent client experience throughout the service lifecycle.
  • Guide clients through portal registration, Schwab Alliance enrollment, and digital access setup.
  • Assist with routine portal, custodian, and account-access questions or issues.
  • Introduce the firm’s service model and expectations for routine service requests.
  • Serve as the primary operational contact for routine client service needs.
  • Prepare meeting materials, planning reports, client documentation, and meeting rooms.
  • Coordinate implementation and follow-up from planning recommendations.
  • Support tax planning workflows and coordinate documentation requests among advisors, clients, and CPA partners.
  • Support account establishment, maintenance, transfers, money movement, and related service activities.

What you\'ll do:

You\'ll be the steady operational partner our financial advisors rely on and the primary point of contact clients turn to for routine service requests. You\'ll respond to those requests promptly and accurately, coordinate follow-up on advisor commitments, and keep clients informed on the status of their accounts and requests. When something falls outside your scope, you\'ll recognize it and escalate it to the right person at the right time.

You\'ll guide clients through onboarding, walking them through client portal registration, Schwab Alliance enrollment, and digital account access, and helping them feel comfortable and confident with how we work. You\'ll support advisors as they prepare for client meetings and planning engagements, prepare planning materials, reports, and documentation, and coordinate the follow-up that turns planning recommendations into completed action.

On the investment side, you\'ll support account establishment, maintenance, transfers, and money movement, reviewing documentation for completeness before it goes out and coordinating with custodians and internal departments until each request is finished. You\'ll help keep tax planning workflows moving by coordinating documentation and information between advisors, clients, and CPA partners. And across all of it, you\'ll execute assigned workflows exactly as our procedures call for, monitor your work through to completion, and maintain accurate, organized, compliant records in the CRM and our other systems.

POSITION SUMMARY

The Client Service Associate supports advisors by executing client service workflows, coordinating client onboarding and digital access, maintaining accurate documentation, and tracking service requests through completion. The associate promptly escalates matters requiring an advisor’s involvement, including financial planning, investment, or client relationship concerns. Success in this role is measured by the associate’s consistent execution of service workflows, timely follow-through on client requests, accurate and complete documentation, responsiveness to clients and advisors, and contribute to a positive client experience.

CORE RESPONSIBILITIES

ADVISOR & PLANNING SUPPORT
  • Prepare meeting materials, planning reports, client documentation, and meeting rooms.
  • Coordinate implementation and follow-up from planning recommendations.
  • Support tax planning workflows and coordinate documentation requests among advisors, clients, and CPA partners.
INVESTMENT & OPERATIONS SUPPORT
  • Support account establishment, maintenance, transfers, money movement, and related service activities.
  • Prepare and review documentation for completeness before submission.
  • Coordinate with custodians and internal departments; monitor requests through completion.
  • Support departmental projects, operational initiatives, procedures, records, and approved technology changes.
WORKFLOW, DOCUMENTATION & COMPLIANCE
  • Execute assigned workflows consistently according to established procedures.
  • Identify delays, exceptions, recurring issues, or improvement opportunities and communicate them appropriately.
  • Maintain accurate client records and document interactions, completed activities, and required records in firm systems.
  • Support data accuracy and compliance with firm documentation standards.
QUALIFICATIONS
  • Associate or bachelor’s degree preferred or equivalent education and experience.
  • 2+ years in client service, financial services, operations, or administrative support.
  • Strong written and verbal communication, client-first mindset, ability to manage multiple priorities, and working knowledge of CRM and Microsoft Office tools.
  • Financial services experience preferred.
  • Attention to detail, discretion/confidentiality, judgement, and follow through.
