Job summary

SAGE Veterinary Centers in Concord, CA is hiring a Client Service Coordinator for our Emergency and Specialty hospital. You will greet clients, manage scheduling, and assist with admission and payments.

Ideal candidates have 2+ years in hospitality or veterinary client service, strong communication and organizational skills, and proficiency with MS Word, Excel, Outlook; familiarity with ezyVet and Five9 is a plus.

Qualifications

• High school diploma or equivalent.
• 2+ years hospitality or customer service experience.
• 2+ years veterinary customer service preferred.
• Strong interpersonal skills, empathy, and compassion.
• Professional during emergencies and emotionally challenging situations.
• Excellent organization and attention to detail.
• Proficiency with Microsoft Word, Excel, and Outlook.
• Typing speed 45 WPM; 10-key calculator use.
• Experience with veterinary software such as ezyVet and Five9.

Client Service Coordinator – Veterinary Emergency & Specialty

SAGE Veterinary Centers | Concord, CA

Compensation: $22.00–$26.00/hour, depending on experience
Shift Differential: Additional $5.50/hour for hours worked between 6:00 PM and 6:00 AM
Schedule: Sunday, Monday, Thursday, Friday | 9:30 AM–8:00 PM
Employment Type: Full-Time | Four 10-hour shifts

As a CSC, you'll be one of the first people our clients interact with, helping pet owners navigate everything from routine specialty appointments to unexpected veterinary emergencies. Your ability to remain calm, communicate clearly, and provide reassurance can make a meaningful difference during stressful moments.

Our SAGE Concord location opened a brand-new, state-of-the-art facility in the summer of 2022! As the largest Specialty and Emergency veterinary hospital in the East Bay, our expanded facility allows us to provide advanced veterinary care to pets and families throughout the community.

Our specialty services include Emergency, Critical Care, Cardiology, Integrative Medicine, Internal Medicine, Oncology, and Surgery. With advanced surgical suites, trauma response capabilities, and critical care services, our team works collaboratively to provide exceptional patient care.

Responsibilities

In your day-to-day, you will:

• Welcome clients and their pets, providing a compassionate and professional experience from arrival through departure.
• Answer incoming calls, respond to emails, and assist with questions about hospital services and appointments.
• Schedule specialty appointments, coordinate procedures, and maintain accurate calendars.
• Support clients navigating veterinary emergencies while remaining calm and reassuring.
• Assist with patient check-in, check-out, paperwork, and payment processing.
• Maintain accurate client and patient records while protecting confidential information.
• Communicate with veterinary technicians, doctors, and other hospital team members to ensure smooth patient flow.
• Address client concerns professionally and escalates complex situations when appropriate.
• Maintain a clean, welcoming, and organized reception area.
• Multitask effectively while balancing phones, client needs, scheduling, and administrative responsibilities.

Qualifications

What we're looking for:

• High school diploma or equivalent.
• At least 2 years of hospitality or customer service experience.
• Previous veterinary customer service or veterinary reception experience (2+ years highly preferred).
• Strong interpersonal skills, empathy, and compassion when working with clients and their pets.
• Ability to remain professional and composed during emotionally challenging or emergency situations.
• Excellent organizational skills, attention to detail, and the ability to manage multiple priorities.
• Proficiency with Microsoft Word, Excel, and Outlook.
• Typing speed of at least 45 WPM and ability to use a 10-key calculator.
• Accurate data entry skills and comfort maintaining electronic medical records.
• Ability to learn and work with veterinary practice management systems such as ezyVet and Five9 phone systems.
• Dependability, adaptability, and a team-oriented attitude.
