This is not a traditional administrative support role. The Client Service Coordinator is a high-relationship, high-accountability position serving the firm's Core and Private Wealth clients, including some of the most affluent and most complex client relationships. You will help create a seamless, highly personalized experience by understanding what matters to each client, anticipating service needs, resolving requests with care and urgency, and coordinating the right resources across the organization.
As a trusted point of coordination, you will connect clients, advisors, internal specialists, and outside professionals so that commitments are clear, details do not get lost, and service moves forward. Success requires sound judgment, exceptional follow-through, discretion, warmth, and the ability to manage multiple priorities without sacrificing accuracy or the client experience.

What You Will Own
- Build trusted relationships with assigned Core and Private Wealth clients by learning their preferences, family context, communication style, service history, and expectations.
- Serve as a central point of contact for day-to-day service needs, responding with professionalism, empathy, discretion, and a clear sense of ownership.
- Anticipate upcoming needs, deadlines, decisions, and potential service gaps; initiate follow-up before the client or advisor has to ask.
- Triage client requests, determine the appropriate path to resolution, engage the right internal or external resources, and remain accountable through completion.
- Coordinate across advisors, planning, investment, operations, leadership, and other teams to deliver an integrated client experience.
- Prepare for client meetings by confirming objectives, compiling information, coordinating materials and participants, and identifying open service items.
- Participate in client meetings and calls as needed; capture commitments, translate discussions into clear actions, assign ownership, and drive timely follow-through.
- Manage complex scheduling and meeting logistics with attention to client preferences, advisor priorities, participants, preparation time, and follow-up requirements.
- Coordinate with clients' attorneys, accountants, trustees, and other professional partners, within appropriate authorization and compliance boundaries.
- Maintain complete, accurate, and timely client records, notes, documents, workflows, and data across the firm's systems, including the CRM.
- Execute client service requests, operational tasks, and casework accurately and efficiently while providing proactive status updates to clients and stakeholders.
- Identify recurring friction points and partner with colleagues to improve workflows, handoffs, service standards, and the consistency of the client experience.
- Protect client confidentiality and comply with applicable legal, regulatory, records-retention, privacy, and firm requirements.
- Support special client needs, firm initiatives, and additional client service or operational responsibilities consistent with the role.

What You Must Have
- Bachelor's degree or demonstrated professional experience in a related field, with a history of delivering exceptional client service and operational support.
- Experience delivering high-touch client, customer, member, patient, guest, or professional-services support where trust, judgment, and follow-through are essential.
- Demonstrated ability to manage multiple concurrent requests, deadlines, stakeholders, and confidential details with a high degree of accuracy.
- Clear, polished verbal and written communication skills, including the ability to explain next steps and set expectations.
- Proficiency with Microsoft Office applications and a demonstrated ability to learn and use CRM, workflow, document-management, and other business systems.
- Ability to work on-site in Rochester, Minnesota, in a collaborative, client-centered environment.
