About the Role
The Client Concierge owns the experience of Integrated Private Wealth's most strategic clients. The role ensures each client feels known, supported, and confident that their needs and commitments are being coordinated across the firm and our trusted partner network.
This position combines the anticipation and personalization of luxury hospitality with the discipline, discretion, and follow-through required in wealth management. The Client Concierge listens for what matters, converts needs into coordinated action, keeps clients appropriately informed, and closes loops so clients do not have to coordinate parties or chase updates.
Role Ownership and Collaboration
The Client Concierge owns the client experience and the coordination surrounding it. The role is not responsible for delivering financial advice, processing transactions, or producing technical planning work. Instead, the Client Concierge connects the right resources, maintains visibility across commitments, anticipates gaps, and ensures clear follow-through.

Key ResponsibilitiesStrategic Client Experience
- Own the onboarding experience for strategic clients, ensuring a seamless, personalized transition into the firm.
- Build and maintain secure client experience profiles that capture relevant communication preferences, key dates, family context, service expectations, and important relationships.
- Develop individualized engagement plans and coordinate meaningful touchpoints that deepen trust and anticipate future needs.
- Conduct periodic client experience reviews to confirm that clients are receiving the full value of the firm's capabilities and partner network.
- Provide warm, confident, and appropriately proactive communication so clients understand status, next steps, and timing without having to ask.
Coordination and Closed-Loop Execution
- Translate client conversations, meetings, and requests into clear actions, owners, deadlines, and follow-up plans.
- Use the firm's approved CRM and workflow systems as the source of truth for relevant client preferences, commitments, status, and next steps.
- Coordinate across advisors, operations, planning, external professionals, and service partners while retaining accountability for visibility and follow-through.
- Monitor commitments through completion, identify delays or handoff risks early, and elevate when needed.
- Exercise sound judgment about what should be documented, where it belongs, and who should have access.
Judgment, Discretion, and Problem Solving
- Assess unusual or sensitive requests in light of feasibility, confidentiality, compliance, reputational risk, and the client's intended outcome.
- Know when to handle a matter directly, coordinate the appropriate resource, or elevate to firm leadership.
- When a request cannot be fulfilled as presented, communicate professionally and offer thoughtful alternatives whenever possible.
- Preserve confidential client and firm information while maintaining the responsiveness expected in a high-touch environment.
Partner Network and Client Experience Improvement
- Build and maintain strong relationships with trusted external partners and monitor their responsiveness and service quality.
- Capture client feedback, identify recurring themes, and recommend practical improvements to the firm's client experience.
- Collaborate with the Chief of Staff, advisors, operations, and support teams to strengthen workflows, communication practices, and service standards.
Additional Team Support
- During periods of high business activity, provide limited support for client events, relationship-development initiatives, and proposal coordination when aligned with primary client-experience responsibilities.
What Success Looks Like
- Strategic clients experience a seamless, highly personalized onboarding process.
- Client experience profiles are complete, current, relevant, and maintained in approved systems.
- Commitments have clear owners and deadlines, and open items are followed through to completion.
- Clients receive proactive updates and do not need to chase the firm for status or next steps.
- Risks, delays, and service gaps are identified and elevated early.
- Client feedback and recurring themes lead to measurable improvements in the client experience.
- The firm's partner network is reliable, responsive, and aligned with IPW's service standards.
Qualifications
- Five or more years of progressively responsible experience in luxury hospitality, family office support, private aviation or yachting, client experience, wealth management, private banking, executive support, or another high-touch service environment.
- Demonstrated ability to translate client or principal needs into coordinated actions and completed outcomes.
- Experience managing multiple high-priority relationships, stakeholders, vendors, or professional service providers with exceptional attention to detail.
- Experience maintaining client, guest, or principal preferences using secure, shared systems; confidence learning CRM and workflow technology.
- Excellent written and verbal communication, including the ability to synthesize complex or sensitive matters into concise updates, recommendations, and next steps.
- Strong judgment, discretion, emotional intelligence, and the ability to establish trust with executives, professionals, and high-net-worth individuals.
- Comfort learning wealth-management terminology, professional boundaries, compliance expectations, and firm procedures.
- Experience serving high-net-worth or ultra-high-net-worth clients and prior exposure to wealth management, family office, private banking, or luxury services are strongly preferred.
- Bachelor's degree preferred, or an equivalent combination of education and relevant experience.

Work Environment and Availability
This is a full-time, primarily onsite role based in Gig Harbor, Washington. Regular in-person presence is an important part of serving clients and coordinating with the IPW team. Occasional availability outside standard business hours may be required for time-sensitive strategic-client needs, events, or exceptional circumstances.
