Job summary

Qualifications

  • 2+ years of experience delivering exceptional customer service with strong verbal and written communication skills.
  • 2+ years of experience managing multiple priorities and projects in fast-paced environments with strong organizational skills.
  • 2+ years of experience utilizing Microsoft Office Suite and CRM systems while supporting clients, advisors, and cross-functional teams.

Responsibilities

  • Serve as the first point of contact for clients via phone, email, and in person.
  • Schedule and confirm client meetings, prepare documents, and assist with follow-ups.
  • Manage client inquiries related to account maintenance, statements, and online access.
  • Process client requests such as beneficiary updates, address changes, RMDs, and transfers accurately.
  • Maintain accurate client information in CRM and other systems.
  • Prepare meeting materials for advisors ensuring regulatory compliance.
  • Assist with documentation for new business, account openings, and maintenance.
  • Support branch operational activities, audits, and internal reporting.
  • Contribute to marketing and client appreciation events and communications.
  • Draft professional correspondence and internal/external communications.

Job Overview

The Client Service Associate provides administrative and operational support to advisors and clients in the Employee Model. This role is critical in ensuring an exceptional client experience through professional communication, detail‑oriented execution, and consistent follow‑through. The CSA will handle client relationship management, account administration, and branch office operations, while balancing multiple priorities in a fast‑paced environment.

Responsibilities
  • Serve as the first point of contact for clients, providing friendly and professional service via phone, email, and in person.
  • Schedule and confirm client meetings, prepare necessary documentation, and assist with follow‑up tasks.
  • Manage client inquiries related to account maintenance, statements, and online access.
  • Ensure timely and accurate processing of client requests such as beneficiary updates, address changes, RMDs, and account transfers.
  • Maintain accurate and up‑to‑date client information in CRM and other management systems.
  • Coordinate and prepare meeting materials for advisors, ensuring compliance with regulatory requirements.
  • Assist with documentation for new business, account openings, and account maintenance.
  • Monitor, coordinate, and complete branch operational activities, including audits, compliance requests, and internal reporting.
  • Support marketing, client appreciation events, and other client communication initiatives.
  • Draft professional correspondence, presentations, and internal/external communications as needed.

Requirements
  • 2+ years of experience delivering exceptional customer service with strong verbal and written communication skills, effectively explaining complex information in a clear and understandable manner.
  • 2+ years of experience managing multiple priorities and projects in fast‑paced environments while demonstrating strong organizational skills, attention to detail, professionalism, discretion, and sound judgment.
  • 2+ years of experience utilizing Microsoft Office Suite and CRM systems while working both independently and collaboratively to support clients, advisors, and cross‑functional teams.
  • Open to travel up to 10‑15% as needed.
  • 1+ years of being comfortable utilizing AI.
  • Willing to get licensed (Series 7 and 66) within 120 days.

Preferences
  • Associate or bachelor’s degree, preferably in Business, Accounting, or Finance.
  • Currently holds (i.e. SIE, Series 7 and 66) 1+ years of experience in financial services, administrative support, or a related role.
  • Experience working directly with financial advisors, branch staff, or home office support teams.
Pay Range
  • $23.52-$39.17/hour
  • Actual base salary varies based on factors, including but not limited to, relevant skill, prior experience, education, base salary of internal peers, demonstrated performance, and geographic location.
