Job summary

You will handle client inquiries, schedule meetings, prepare documents, process account maintenance, maintain records, ensure compliance with FINRA/SEC, and assist with communications, events, and marketing initiatives.

Qualifications

  • 2+ years in financial services, client service, or admin support with strong organizational skills.
  • 2+ years of verbal and written communication experience, professionalism, discretion, and relationship-building.
  • Proficient in Microsoft Office and CRM systems; able to work independently and in a team.

Responsibilities

  • Primary point of contact for clients via phone, email, and in person.
  • Schedule client meetings, prepare documentation, process account maintenance, and complete new account paperwork.
  • Maintain accurate client records, support compliance with FINRA/SEC and firm policies, and coordinate with custodians.
  • Assist with advisor calendars, reports, correspondence, general office administration, client events, newsletters, and marketing initiatives.

Job Overview

The Client Service Associate plays a crucial role in supporting financial advisors and ensuring an exceptional client experience. This position is responsible for administrative tasks, client relationship management, and operational support within the branch office. The ideal candidate is highly organized, detail oriented, and able to handle multiple responsibilities while maintaining a professional and client focused approach.

Responsibilities
  • The Client Service Associate serves as the primary point of contact for clients, delivering exceptional service and support via phone, email, and in person.
  • This role is responsible for scheduling client meetings, preparing documentation, processing account maintenance requests, and ensuring the timely completion of new account paperwork.
  • The CSA maintains accurate client records, supports compliance with FINRA, SEC, and firm policies, and coordinates with custodians and financial institutions to resolve account-related matters.
  • Additional responsibilities include managing advisor calendars, preparing reports and correspondence, handling general office administration, and assisting with client events, communications, newsletters, and marketing initiatives.

Requirements
  • 2+ years of experience in a financial services, client service, or administrative support role, with strong organizational skills and exceptional attention to detail.
  • 2+ years of experience demonstrating excellent verbal and written communication skills, professionalism, discretion, ethical conduct, and the ability to build strong relationships with clients and colleagues.
  • 2+ years of experience utilizing Microsoft Office Suite (Word, Excel, Outlook, PowerPoint), learning and navigating CRM systems, solving problems effectively, and working both independently and collaboratively within a team environment.
Preferences
  • Associate or bachelor's degree preferred in Business, Accounting, Finance, or a related field.
  • 2+ years of experience in a financial services, client service, or administrative support role.
Pay Range

$23.52-$39.17/hour Actual base salary varies based on factors, including but not limited to, relevant skill, prior experience, education, base salary of internal peers, demonstrated performance, and geographic location.
