Client Service Associate (CSA)
Reports To: Financial Associate
Job Status: Full‑time (In the office)
Salary Range: 1099, hourly contractor - $25-30K, based on experience and licensing.
Job Summary: The Client Service Associate (“CSA”) will work closely with the Financial Professional (FP) to build strong relationships with existing clients. The goal is to deliver a high‑quality client experience and retain assets. The ideal candidate will be client‑service oriented, have experience in the financial services industry and be able to manage a process. The CSA will also be responsible for office administrative support, maintaining databases of current clients, and all aspects of business processing, including account maintenance, cashiering, asset movement and other tasks as deemed necessary by the Financial Professionals to support them on a daily basis.
Essential Duties and Responsibilities
- Manage multiple client relationships simultaneously
- Prepare appointment material for the Financial Professional, gathering financial and account information
- Calendar management for scheduling meetings, conference calls, appointment confirmations and materials
- Populate and maintain accurate client information in proprietary systems
- Manage all details of clients in CRM, record appointment notes, workflows and database lists
- Manage the new client onboarding process, including opening accounts, managing paperwork both in person and via DocuSign, and maintain communication with the client about account status
- Provide market quotations, place orders, and rebalance accounts at the direction of the financial professional
- Process cashiering and asset movement requests such as distributions, wire and check requests
- Research and resolve client service problems for errors as needed
- Office administrative support
- Answer incoming office calls and document any client requests
- Type and design general written and electronic correspondence
- Provide general office support (answering phones, photocopying, faxing, filing, creating documents, etc.)
- Process incoming and outgoing mail, including checks and tax forms, scan to client folder and check log, and log in CRM
- Perform other duties as assigned
Required Skills
- Understanding and proficiency in customer relationships, customer service, data entry, confidentiality, problem resolution and MS Office products such as Word, Excel, Outlook
- Experience with CRMs such as Redtail
- Experience with virtual meeting applications such as Got Webinar, Zoom
- Excellent oral and written communication skills
- Energetic and outgoing personality with great interpersonal skills
- Excellent organizational, time management and multi‑tasking skills
- Organized, meticulous, detail‑oriented and able to multitask
- Ability to work some evenings and on weekends depending on event schedule
- Ability to work independently and under pressure in a fast‑paced environment

Education and Experience
- High school diploma required; bachelor’s degree preferred
- Client service/relationship management experience required
- Experience in the financial services industry preferred
- FINRA S7, S66 preferred
