Job description

Proffitt & Goodson, Inc. is a fiduciary, fee‑only registered investment advisory firm. We improve our clients’ lives through honest advice, personalized care, and disciplined investing. Our comprehensive approach covers the full spectrum of wealth management, including investment management, financial and estate planning, and tax planning.

Our business is built around delivering exceptional service and personal attention to high‑net‑worth families and nonprofit organizations. We take a collaborative, team‑based approach and use modern technology to provide clients with a thoughtful and highly responsive experience.

As a growing firm, we also provide opportunities for professional development and internal growth, including support for continuing education and professional credentials.

What You’ll Do

We are seeking a Client Service & Front Desk Associate who will play an important role in creating a welcoming, professional experience for our clients and visitors.

This position serves as the primary point of contact at our Knoxville office and is responsible for managing the front desk, answering incoming calls, greeting clients and visitors, and helping ensure the office operates smoothly each day. The role also provides administrative and client‑service support to our advisory and operations teams.

The ideal candidate is warm and professional, highly organized, dependable, and comfortable balancing front‑desk responsibilities with a variety of client‑service and administrative tasks.

Responsibilities will include:

  • Serve as the primary receptionist and first point of contact for clients, prospective clients, vendors, and other visitors to the office.
  • Greet clients and visitors warmly and professionally and help ensure an exceptional in‑office experience.
  • Answer and direct incoming telephone calls, take accurate messages, and assist callers with routine questions.
  • Manage the front desk and reception area and help maintain a professional, organized, and welcoming office environment.
  • Assist with preparations for client meetings, including refreshments, materials, and other meeting needs.
  • Receive, sort, and distribute incoming mail and deliveries and assist with outgoing correspondence and packages.
  • Provide administrative support to advisors and other members of the client‑service team.
  • Assist clients with account‑related questions and requests and direct more complex matters to the appropriate team member.
  • Process routine client requests, including checks, wires, journals, and other account transactions.
  • Assist with new‑client onboarding, including preparing welcome communications, tracking required documentation, and providing clients with progress updates.
  • Assist clients with establishing and using online account access for statements, confirmations, tax documents, and other services.
  • Maintain accurate and organized electronic client files and records.
  • Help prioritize and organize workflow across the office and support the day‑to‑day administration of client accounts.
  • Perform general office and administrative duties as needed.
  • Provide additional support to the team during periods of increased activity or changing priorities.
What You’ll Bring

Because this position is often the first interaction a client or visitor has with our firm, strong interpersonal skills and professionalism are essential. The successful candidate will be someone who enjoys helping people, takes pride in providing excellent service, and pays close attention to the details that contribute to a positive client experience.

The ideal candidate will have many of the following qualifications:

  • Strong professional communication and interpersonal skills.
  • A warm, welcoming, and service‑oriented personality.
  • Experience in a receptionist, front‑desk, administrative, hospitality, or client‑service role.
  • Strong organizational skills and attention to detail.
  • Ability to manage interruptions and multiple priorities while maintaining a professional demeanor.
  • Dependability and a willingness to take ownership of day‑to‑day office responsibilities.
  • Ability to prioritize and organize workflow effectively.
  • Experience in financial services, professional services, or another client‑focused environment is preferred but not required.
