Position Summary

The Client Relationship Assistant position comprises a range of administrative responsibilities, including fund administration, board meeting administration, and data collection.

Access Level: Has minimum necessary access to Protected Health Information (PHI) and Personally Identifiable Information (PII) by Job Description/Role.

Key Duties and Responsibilities

  1. Support the Client-facing team in performing administrative tasks.
  2. Create correspondence, reports, presentations, and meeting notes for internal use or distribution to clients or vendors; perform filing, editing, copying, or collating as needed.
  3. Keep records related to the disbursement process.
  4. Coordinate meetings, activities, and other events, including scheduling, catering, and meeting room preparation.
  5. Assist the Client-facing team with analysis and internal reports to support daily activities; manage internal audit data collection, including financial, DOL, and Operational Controls Audits.
  6. Manage administrative responsibilities, including invoice preparation and approval, payable handling, filings, and applications.
  7. Perform other related duties as assigned.

Minimum Qualifications

  • Highly developed sense of professionalism, maturity, and integrity.
  • Experience working in a collaborative team environment.
  • Ability to communicate effectively and execute tasks with all organizational levels in a heavily matrixed environment.
  • Ability to work in a fast-paced environment managing multiple projects and requests.
  • Strong decision-making and organizational skills, with the ability to optimize resources and deliver on priorities.
  • Strong organizational skills with attention to detail.
  • Excellent time management skills to prioritize workload and meet deadlines.
  • Excellent verbal and written communication skills.
  • Proficiency in MS Office applications.

Preferred Qualifications

  • Experience in administrative roles related to communications, marketing, or client management.
  • Experience working in healthcare or as a third-party administrator.
  • Knowledge of Taft Hartley organizations.
  • Experience in Client Services, Client Management, or Customer Service.
