Job description

Mohr CPAs LLP is a Milwaukee-based CPA firm focused on tax planning and compliance for high-net-worth individuals, trusts, estates, private foundations, and small businesses. Our work is relationship-driven, detail-heavy, and grounded in long-term client trust.

Position Summary

The Client Relations & Firm Operations Manager will play a central role in both the client experience and the day-to-day operations of the firm. This person will help ensure our clients feel well cared for, communication remains responsive, and the firm stays organized through recurring tax deadlines. Responsibilities will initially include front desk and phone coverage, coordinating client document flow, supporting new and existing client intake, assisting with tax-season administrative workflows, and maintaining a responsive, polished office experience.

Over time, the role is expected to expand in both client-facing and firm-wide responsibilities. Additional responsibilities will be introduced based on demonstrated judgment, accuracy, discretion, initiative and trustworthiness. The long-term goal is for this individual to take increasing ownership of the client experience and key aspects of firm operations, becoming a trusted resource to both clients and the firm’s leadership.

Key Responsibilities
  • Serve as the firm's first point of contact by phone, email, and in person, with a warm and professional tone.
  • Own front desk and phone coverage, especially during January-April and September-October busy seasons.
  • Coordinate client tax document intake for existing clients
  • Support tax-season workflows, including engagement letters, organizers, e-signatures, client portals, SafeSend delivery, and PDF preparation.
  • Coordinate calendars, client meetings, office logistics, mail, scanning, filing, and general administrative support.
  • Use Microsoft 365, DocuSign, Lacerte, SafeSend, QuickBooks, and Adobe to support accurate client and firm operations.
  • Escalate client questions appropriately while resolving administrative issues independently when possible.
  • Maintain confidentiality and discretion with sensitive personal, financial, estate, trust, and business information.
  • Additional responsibilities will be added over time
Required Qualifications
  • Minimum of 2 years of experience in administrative support, client service, office operations, or a similar professional environment.
  • Strong interpersonal and telephone communication skills
  • A genuine service mindset and the ability to build warm, professional relationships with clients
  • Strong organizational skills and the ability to track many open items through completion.
  • High attention to detail with confidential client information
  • Comfortable with Microsoft 365, Adobe PDF tools, client portals, and document management workflows
  • Willingness to handle hands-on office administration as part of a broader client relations and firm operations role.

This is a full-time, salaried position with seasonality that follows the tax calendar. Greater availability is expected during our January-April and September-October busy seasons, while summer schedules generally decrease to approximately 25-30 hours per week.

Preferred Qualifications
  • Prior administrative experience at a CPA firm or other professional services firm
  • Experience with SafeSend, DocuSign, QuickBooks, Microsoft 365, and Adobe
  • Experience with client intake, engagement letters, tax organizers or tax return delivery
  • Basic bookkeeping, accounting, or tax-process literacy
  • Demonstrated ability to improve office processes, reduce follow-up gaps, and protect client responsiveness
Compensation and Work Model

The anticipated salary range for this position is $65,000-$80,000, depending on experience and qualifications. Candidates with a strong background in office administration or professional-services coordination would generally be expected to fall within the lower to middle portion of the range, while candidates with more extensive client relations experience and the ability to take greater ownership of client-facing and firm operations responsibilities may be considered toward the higher end.
