Himmelwright, Huguley & Boles is seeking a friendly, organized, and proactive Administrative Professional to join our growing accounting firm. This full-time position plays an important role in supporting our clients, accounting professionals, and day-to-day office operations.
The ideal candidate enjoys working with people, pays close attention to details, and can confidently manage multiple priorities in a busy professional environment. Accounting experience is not required, but the candidate must be comfortable learning new technology, processes, and terminology.
Key Responsibilities
- Greet clients and visitors and provide a welcoming, professional experience
- Answer and direct incoming telephone calls
- Schedule and coordinate client appointments and internal meetings
- Manage calendars and assist professionals with scheduling and follow-up
- Receive, organize, scan, and route client documents
- Maintain accurate client information and update workflow systems
- Assist with onboarding new clients and collecting required information
- Prepare correspondence, reports, engagement letters, and other documents
- Monitor accounts receivable and assist with client billing and payment follow-up
- Order office supplies and help maintain an organized, efficient office
- Assist with bookkeeping or other accounting-related work based on experience and interest
- Provide general administrative support to firm professionals and team members
Tax Season Responsibilities
During tax season, this position is an essential part of moving tax returns efficiently through the firm’s preparation, review, and delivery process. Responsibilities include:
- Check tax returns into the firm’s administrative workflow after preparation and review
- Verify that required documents, signatures, payment instructions, and supporting materials are included
- Assemble completed individual and business tax returns according to firm procedures
- Prepare returns for secure electronic delivery, mailing, pickup, or in-person delivery
- Contact clients when returns are ready and provide clear instructions for accessing or receiving them
- Update return statuses accurately throughout the process
- Assist with extensions, tax organizers, client document intake, and deadline tracking
- Help manage the increased volume of telephone calls, emails, appointments, and client activity during filing deadlines
- Maintain accuracy, confidentiality, and a high level of client service during fast-paced periods

- Willing to take ownership of assigned tasks and follow them through to completion
Previous administrative or professional-office experience is preferred- Experience in an accounting, legal, financial, or other client-service environment is a plus
