Client Operations Coordinator
What You’ll Do
- Serve as the first point of contact for clients, managing inbound calls, inquiries, and service requests with professionalism and timely follow-up.
- Coordinate client onboarding, engagement setup, and maintenance of client records, accounts, and CRM data.
- Prepare, track, and manage engagement documents, proposals, agreements, reports, and other client-facing materials.
- Monitor service requests and client support activities, ensuring accurate documentation, issue resolution, and escalation when needed.
- Collaborate across teams to deliver a seamless client experience while maintaining compliance with firm policies, quality standards, and operational procedures.
What You Bring
- High school diploma/GED required; some college preferred.
- 1-3 years’ experience as an administrative assistant or similar administrative role.
- Availability for overtime as needed during busy seasons.
- Willingness to travel approximately <5%.
What Sets You Apart
- Client-centered service orientation and professional communication with internal and external clients.
- Proficiency in Microsoft 365 and ability to learn CRM, workflow, electronic signature, portal, document-management, and practice-management platforms.
- Strong organization, prioritization, proofreading, records accuracy, and follow-through.
- Sound judgment and discretion when handling confidential and sensitive information.
- Ability to collaborate in a queue-based, deadline-driven, one-firm environment.
- Ability to follow documented procedures, identify exceptions, and escalation appropriately.
