Job summary

Values First Advisors is seeking a Client Operations Associate to keep daily operations running smoothly and to deliver an exceptional client experience. You will handle account paperwork, maintain client records, manage workflows between advisors, custodians, and vendors, and support CRM and financial planning tools.

Qualifications

  • High school diploma or equivalent required.
  • 1–3 years of experience in an administrative, customer service, financial services, operations, or technology-oriented role preferred.
  • Comfortable using computers and learning new software/apps.
  • Strong attention to detail.
  • Ability to handle confidential information professionally.
  • Financial services experience is helpful but not required.
  • Experience with CRM systems, Microsoft Excel, or financial services technology is helpful.

Responsibilities

  • Process and track account paperwork and new account openings.
  • Maintain accurate client records and documentation.
  • Monitor outstanding tasks and workflows, following up until they are completed.
  • Coordinate workflows between advisors, clients, custodians, and outside vendors.
  • Daily, weekly, monthly and annual tasks to ensure a compliant culture.
  • Help maintain and improve internal processes and procedures.
  • Identify bottlenecks and suggest ways to make the firm more efficient.
  • Keep projects moving forward without needing to be constantly reminded.
  • Serve as a friendly, helpful, and professional point of contact for clients.
  • Answer phones, respond to emails, and help clients navigate basic questions and requests.
  • Help coordinate client meetings and follow-up.
  • Assist with onboarding new clients and making sure they have a smooth first experience with our firm.
  • Communicate with clients regarding forms, documents, account openings, transfers, and other administrative needs.
  • Anticipate client needs rather than simply reacting to requests.
  • Treat every client interaction as an opportunity to demonstrate the care and excellence of Values First Advisors.
  • Work extensively with CRM, document management, and custodial technology.
  • Become highly proficient in the technology used by Values First Advisors.
  • Utilize Microsoft Office, email, CRM systems, and other technology on a daily basis.
  • Learn new technology quickly and be willing to experiment with tools that can make the firm better.
  • Help identify opportunities to automate repetitive tasks and improve workflows.
  • Become an internal resource for technology and systems questions.
  • Work closely with advisors and other members of the VFA team.
  • Help teammates wherever needed, even when a task isn’t technically “your job.”
  • Take ownership of problems instead of simply passing them along.
  • Bring a positive attitude and willingness to contribute to the team.
  • Look for ways to make your coworkers’ jobs easier.
  • Participate in team meetings, projects, and firm initiatives.

The Opportunity

The Client Operations Associate will play a critical role in keeping the day-to-day

operations of Values First Advisors running smoothly while helping create an exceptional

experience for our clients.

This person will work behind the scenes on many of the systems, technology, paperwork,

workflows, and other details that allow our advisors to focus on what they do best: serving

clients and providing excellent financial advice.

At the same time, this is a people-oriented position. You will interact with clients,

prospects, custodians, and members of our team regularly.

The ideal candidate is someone who can spend part of the day helping a client on the

phone and the next few hours working comfortably inside a CRM, spreadsheet, financial

planning software, or custodial platform.

You should genuinely enjoy both.

What You’ll Do
Operations & Administration
