Job summary

Bast Amron LLP in Miami is seeking a Client Intake Specialist to be the welcoming, organized first point of contact for prospective clients. This full-time, in-office role works closely with founders and leadership to shape intake processes and deliver exceptional service.

You will manage inquiries from first contact through engagement, coordinate conflict checks with attorneys, and ensure engagement letters and new matter docs are prepared promptly.

This isn’t a back-office role. You’ll work closely with our Founding Partners and firm leadership, help shape how we welcome new clients, and play a real part in supporting a growing, ambitious law firm. If you’re proactive, organized, unflappable under pressure, and genuinely enjoy solving problems and delivering great service, we want to talk to you.

This is a full-time, in-office position based in our Miami office.

What You’ll Do

Create an Exceptional Experience

• Be the friendly, professional first voice prospective clients hear from our firm
• Guide inquiries from first contact through engagement, coordinating conflict checks, attorney consultations, and follow-up communications
• Prepare engagement letters and new matter documentation once attorneys give the green light
• Keep the firm’s practice management system accurate, complete, and up to date
• Track every prospective matter and keep things moving with proactive follow-up
• Spot ways to make our intake process faster, smoother, and more client-friendly – and help track the metrics that prove it

Support Firm Operations

• Jump into firmwide initiatives and special projects
• Help coordinate meetings, retreats, trainings, and internal events
• Keep deadlines and operational action items on track
• Provide direct support to our Founding Partners and COO – calendars, meeting logistics, and more
• Step in as backup for the Front Desk Coordinator when needed
• Lend a hand to attorneys and staff wherever the day requires

What We’re Looking For

• Experience in client intake, legal administration, office operations, or administrative support – law firm or professional services background a plus
• A knack for juggling multiple priorities without dropping the details
• Excellent written and verbal communication skills
• Good judgment, professionalism, and the discretion to handle confidential information
• Advanced proficiency with Microsoft Office: Outlook, Word, Excel, and PowerPoint
• Bonus points for legal practice management software experience and bilingual English/Spanish skills
