Responsibilities

  • Screens new client/new matter requests for missing or inaccurate information and compliance.
  • Communicates with partners and secretaries to obtain missing information before opening matters.
  • Guides partners on appropriate actions for new clients and matters.
  • Provides knowledge and support to others on Client Accounting processes.
  • Responds to inquiries from attorneys and staff.
  • Escalates evolving issues to supervisor for timely follow-up.
  • Coordinates with Client Intake team to set up clients/matters in Aderant.
  • Supports day-to-day requests from Client Intake team.
  • Enhances knowledge of Client Accounting procedures and processes.
  • Updates client/matter policies and procedures.
  • Uses strong interpersonal and written communication to build effective relationships.
  • Performs other related duties as assigned.

The Opportunity

We are seeking a Client Intake Coordinator to join our Firm. This hybrid position will be based in our New York office. The Client Intake Coordinator performs the initial screening and analysis of new client and new matter requests, ensuring that each request is complete, accurate, and complies with internal and client guidelines.

  • Screens new client/new matter requests for missing and inaccurate information, additional client requirements, and compliance with Firm’s requirements for new clients and matters.
  • Communicates directly with partners and partner secretaries to obtain missing information, clarification of existing information, and other required data prior to opening new client or matter.
  • Provides guidance and assistance to partners regarding the most appropriate course of action with respect to new clients and new matters.
  • Provides relevant knowledge and support to others in the Firm in a manner that increases the level of understanding of Client Accounting processes, building strong relationships with partners and executive assistants.
  • Responds to inquiries and requests made by attorneys, executive assistants, paralegals and staff.
  • Offers solutions across a range of situations, escalating evolving issues to the supervisor in a timely manner to ensure appropriate follow-up.
  • Coordinates with members of Client Intake team to ensure that clients and matters are set up correctly in Aderant.
  • Coordinates with and assists Client Intake team to ensure day-to-day requests are completed in a timely and efficient manner.
  • Actively seeks to enhance knowledge of all Client Accounting procedures and processes.
  • Updates and maintains information for client/matter policies and procedures.
  • Utilizes effective interpersonal, written and verbal communication skills to facilitate effective work relationships with others.
  • Performs other related duties as assigned.
Qualifications
  • Knowledge of relevant Firm computer software programs (e.g., Outlook, Excel), with the ability to learn new software and operating systems
  • Strong knowledge of all aspects of client/matter intake process
  • Demonstrates effective interpersonal and communication skills, both verbally and in writing
  • Demonstrates close attention to detail
  • Ability to work and develop skills independently
  • Ability to meet deadlines
  • Ability to handle multiple projects and shifting priorities

Education and Experience
  • Bachelor’s degree
  • Minimum of two years of administrative work experience in a professional services environment

The starting base salary for this position is expected to be within the range listed under Salary Details. Actual salary will be determined based on skills, experience (to the extent relevant) and other-job related factors, consistent with applicable law.
