Job summary

Skadden, Arps, Slate, Meagher & Flom LLP in New York seeks a Client Intake Coordinator for a hybrid role. The position screens and analyzes new client and matter requests, ensuring completeness, accuracy, and compliance with internal guidelines.

You will interact with partners, secretaries, and staff to gather missing information, provide guidance on actions, and support firm-wide client accounting processes.

Responsibilities

  • Screen new client/new matter requests for missing or inaccurate information and compliance with firm guidelines.
  • Communicate with partners and assistants to obtain missing data prior to opening new matters.
  • Provide guidance to partners on appropriate actions for new clients/matters; support Client Intake team.
  • Coordinate with the Client Intake team to ensure correct setup in Aderant and timely handling of day-to-day requests.

This hybrid position will be based in our New York office. The Client Intake Coordinator performs the initial screening and analysis of new client and new matter requests, ensuring that each request is complete, accurate, and complies with internal and client guidelines.Screens new client/new matter requests for missing and inaccurate information, additional client requirements, and compliance with Firm's requirements for new clients and matters.Communicates directly with partners and partner secretaries to obtain missing information, clarification of existing information, and other required data prior to opening new client or matter.Provides guidance and assistance to partners regarding the most appropriate course of action with respect to new clients and new matters.Provides relevant knowledge and support to others in the Firm in a manner that increases the level of understanding of Client Accounting processes, building strong relationships with partners and executive assistants.Responds to inquiries and requests made by attorneys, executive assistants, paralegals and staff.Offers solutions across a range of situations, escalating evolving issues to the supervisor in a timely manner to ensure appropriate follow-up.Coordinates with members of Client Intake team to ensure that clients and matters are set up correctly in Aderant.Coordinates with and assists Client Intake team to ensure day-to-day requests are completed in a timely and efficient manner.Actively seeks to enhance knowledge of all Client Accounting procedures and processes.Updates and maintains information for client/matter policies and procedures.Utilizes effective interpersonal, written and verbal communication skills to facilitate effective work relationships with others.Performs other related duties as assigned.QualificationsKnowledge of relevant Firm computer software programs (e.g., Outlook, Excel), with the ability to learn new software and operating systemsStrong knowledge of all aspects of client/matter intake processDemonstrates effective interpersonal and communication skills, both verbally and in writingDemonstrates close attention to detailAbility to work and develop skills independentlyAbility to meet deadlinesAbility to handle multiple projects and shifting prioritiesAbility to handle sensitive matters and maintain confidentialityAbility to organize and prioritize workAbility to work well in a demanding and fast-paced environmentAbility to work well independently as well as effectively within a teamFlexibility to adjust hours and work the hours necessary to meet operating and business needsEducation and ExperienceBachelor's degreeMinimum of two years of administrative work experience in a professional services environmentCulture & Life at SkaddenWhat makes Skadden special is our people and the culture, community and spirit of collaboration we have created.
