Position Overview

The Client Data Specialist is responsible for entering and managing client, matter, and timekeeper data within firm software applications. This role acts as a liaison between internal and external clients to ensure high-quality client service, satisfaction, and retention. The Specialist interprets and communicates client objectives internally to ensure client satisfaction by providing excellent service and accurate data.

Essential Functions
  1. Ensure data integrity in 3E, Case Management, and Intapp Open systems.
  2. Maintain synchronization and data flow between these systems.
  3. Communicate with attorneys and clients as needed.
  4. Prepare and distribute new client/matter reports.
  5. Coordinate data entry for clients, matters, and user access into 3E.
  6. Update client and matter information in the database, including billing info, rate tables, name changes, attorney designations, and matter status.
  7. Assist with client development projects related to financial systems.
  8. Conduct training and support for the legal support team on the firm’s intake system.
  9. Review and summarize Outside Counsel Guidelines to ensure client compliance in 3E.
  10. Coordinate with Accounting, Conflicts, and Information Governance teams to maintain data accuracy and efficiency.
  11. Escalate issues to firm leadership as needed.
  12. Participate in special projects and perform other duties as assigned.
Position Requirements
  1. High School Diploma or GED required; 2-year degree preferred.
  2. 2-3 years of relevant experience, preferably in a law firm environment.
  3. Proficiency in Microsoft Office Suite (Outlook, Word, PowerPoint, Excel).
