ExamWorks is seeking a Client Coordinator-Lead to join our team. In this role, you'll act as a senior team advisor, handling inquiries from doctors, attorneys, paralegals, and claim representatives regarding scheduling, report status, questions, concerns, or general requests for information.

Duties and Responsibilities
  • Support the department by ensuring all client inquiries and product lines are handled efficiently and with high quality.
  • Serve as a team advisor, answering departmental questions and assisting with ongoing training.
  • Respond promptly to inquiries from clients or their representatives regarding questions, report status, concerns, or information requests.
  • Assist in resolving physician and customer complaints or quality issues, escalating to management as needed.
  • Use systems and databases to enter and retrieve client or examinee information.
  • File and archive cases appropriately.
  • Verify and update client information in the database, ensuring compliance with guidelines.
  • Maintain and strengthen client relationships by meeting their specific requirements.
  • Provide backup support to team members as required.
  • Perform clerical duties such as typing, filing, emailing, and proofreading.
  • Ensure compliance with all federal ERISA and state mandates.
  • Offer insights on quality and compliance to management.
  • Participate in developing and implementing policies for operational efficiency.
  • Engage in educational and training activities as needed.
  • Perform other duties as assigned.

Qualifications
  • High school diploma or equivalent required.
  • 1-3 years of clerical experience or equivalent education and experience preferred.
  • Experience supervising in a legal office preferred.
  • Understanding of HIPAA regulations and compliance required.
  • Ability to follow instructions and respond accurately to management.
  • Attention to detail and commitment to quality.
  • Excellent communication skills—convey information clearly, listen effectively, and ask questions for clarification.
  • Ability to work independently, prioritize tasks, and manage time efficiently.
  • Maintain confidentiality at all times.
  • Promote a positive, team-oriented environment.
