Job summary

ExamWorks is seeking a Hybrid Client Coordinator in Mount Laurel, NJ, to support client inquiries, process outbound mail, and manage document indexing. The role includes coordinating Independent Medical Examinations, confirming attendance, and distributing medical records, in a fast-paced environment.

Typical schedule is full-time, Monday–Friday, 8am–5pm EST, with 3 days in office and 2 days remote. The position requires strong attention to detail, excellent customer service, and proficiency

Qualifications

  • High school diploma or equivalent required.
  • Minimum one year clerical experience; or equivalent combination of education and experience preferred.
  • Experience in a medical office or insurance industry preferred.
  • Must possess complete knowledge of general computer, fax, copier, scanner, and telephone.
  • Must be a qualified typist with a minimum of 40 WPM.
  • Ability to follow HIPAA regulations and compliance standards.
  • Must demonstrate accuracy, thoroughness, and responsibility for quality of work.
  • Must have strong communication skills.

Responsibilities

  • Handle client inquiries and maintain timely communication.
  • Enter client or claimant information in systems and retrieve data.
  • Coordinate with QA on workflow and report status.
  • Contact providers for assignments and update databases.
  • File and archive open and closed cases.
  • Verify client information is current and documented in the system.
  • Work independently and with the team to ensure timely case handling.
  • Direct calls to other departments as needed.
  • Perform clerical duties such as typing, filing, emailing, and proofreading.
  • Assist in resolving customer complaints and quality assurance issues.
  • Notify management of issues or concerns and ensure regulatory compliance.
  • Pick up and deliver mail from the local post office and process mail/document scanning.
  • Prepare medical records as needed and organize documents.

# Client Coordinator (33033)Hybrid • Mount Laurel, NJ 08054## OverviewSalary Range$17.50 - $19.50 HourlyPosition TypeFull TimeTravel PercentageNone## Description**We're looking for a Hybrid Client Coordinator to join our team!**The Client Coordinator is responsible for handling client inquiries, processing outbound mail, managing document indexing, and assisting with coordinating Independent Medical Examinations (IMEs), including confirming attendance and distributing medical records. This is a fast-paced position requiring strong attention to detail and excellent customer service skills.**Role Highlights:*** **Full-time** position: Monday-Friday, 8am to 5pm EST* **Competitive pay**: $17.50-$19.50 per hour* **Location: 3 days in office & 2 days work from home**523 Fellowship Road, Suite 275/280 Mt. Laurel, NJ 08054**Duties & Responsibilities include:*** Handle and respond promptly to inquiries from clients and/or anyone acting on behalf of the client regarding questions, report status, concerns, or general requests for information.* Utilize appropriate systems and databases to enter client or claimant information and or retrieve information.* Maintain daily contact with the QA department regarding workflow and pending report status.* Contact providers for assignment and update database.* File and archive open and closed cases.* Verify all client information is current in the database and all client specific guidelines and or rules or information is documented in the system.* Work independently and in partnership with other team members to ensure that questions are addressed, documented and cases are returned in a timely fashion.* Direct calls to other departments as needed.* Perform various clerical duties such as typing, filing, emailing, and proofreading.* Assist in resolution of customer complaints and quality assurance issue.* Notify management of any report issues or concerns.* Ensure all practices are carried out in accordance with state and federal safety and legal regulations.* Pick up and deliver mail from the local post office* Process incoming letter and EOVS by separating documents, placing them into envelopes, and preparing envelopes for mailing* Process and organize incoming mail, including making copies of envelopes and scanning documents into the system* Prepare medical records as needed* Review, map and organize documents into the appropriate document categories* Perform other duties as assigned.## Qualifications**Education and/or Experience** * High school diploma or equivalent required.* Minimum one year clerical experience; or equivalent combination of education and experience preferred.* Experience in a medical office or insurance industry preferred**\\*Driving Requirement: regular local driving is required for post office. Candidates must have their own vehicle, as they will be reimbursed for gas mileage\\*****QUALIFICATIONS*** Must possess complete knowledge of general computer, fax, copier, scanner, and telephone.* Must be knowledgeable of multiple software programs, including but not limited to Microsoft Word, Outlook, Excel, and the Internet.* Must have ability to be trained on and adhere to HIPAA regulations and compliance standards.* Must be a qualified typist with a minimum of 40 W.P.M.* Ability to follow instructions and respond to managements’ directions accurately.* Must demonstrate accuracy, thoroughness, and responsibility for quality of work, and ability to take initiative to identify improvements.
