Join a modern, client-centered psychotherapy practice in Milwaukee’s Historic Third Ward.
Hillary Counseling is a boutique private practice offering therapy for individuals, couples, and families. As we continue to grow, we’re looking for a Client Care Coordinator who will serve as the warm, professional first point of contact for new clients — and provide vital administrative and billing support behind the scenes.
This is a remote, independent contractor, part-time position (10–20 hours/week) with flexibility and room for growth.
What You'll Be Doing:
• Responding to phone and email inquiries with warmth and professionalism
• Gathering intake information and helping match clients to clinicians
• Scheduling appointments and sending intake paperwork
• Managing client billing, including invoicing and payment tracking
• Creating and maintaining spreadsheets for financial tracking and data analysis
• Following up with referral sources via email, handwritten cards, or occasional in-person visits
• Supporting our team of therapists with administrative tasks
• Attending a 1-hour virtual staff meeting monthly to stay connected with the team
Who You Are:
• Highly organized, detail-oriented, and proactive
• Empathetic and comfortable interacting with individuals seeking mental health support
• Experienced with billing and confident working with numbers and payment systems
• Proficient in Excel and able to create and manage spreadsheets
• Passionate about mental health, wellness, and client care
• Committed to confidentiality, professionalism, and providing a welcoming experience
Preferred Qualifications:
• Bachelor’s degree (required — ideally in a related field)
• Experience in administrative support or the mental health field (preferred)
• Comfort with financial tasks and attention to detail with billing
• Familiarity with mental health and the therapeutic process
