About the Role

Serenity Capital Advisors is seeking an exceptionally organized, personable, and dependable Client Concierge Specialist to join our growing wealth management firm in Pittsford, New York.

This is a key position within our firm and much more than a traditional receptionist role. The Client Concierge Specialist will help create an exceptional experience for our clients while managing the day-to-day organization of our office and providing executive and administrative support to the firm's Founder.

We are looking for someone who takes pride in anticipating needs, staying organized, following through on details, and making people feel genuinely welcomed and cared for.

Financial services experience is not required. We are particularly interested in candidates with experience in hospitality, customer service, executive administration, professional services, or other high-touch client environments.

What You'll Do
Client Experience & Front Office
  • Serve as the first point of contact for clients, prospects, and visitors
  • Answer incoming calls and ensure inquiries are handled promptly and professionally
  • Welcome clients and guests and help create a warm, polished, and professional office experience
  • Prepare meeting spaces and coordinate client meeting logistics
  • Help ensure that client requests and follow-up items are addressed in a timely manner
  • Maintain the overall organization and professional appearance of the office
Executive & Administrative Support
  • Manage the Founder's calendar, appointments, reminders, and scheduling priorities
  • Proactively identify scheduling conflicts, outstanding follow-ups, and upcoming deadlines
  • Help organize daily and weekly priorities
  • Coordinate meetings and appointments with clients, prospects, and outside professionals
  • Assist with correspondence, mailings, administrative projects, and other executive support needs
  • Maintain a high degree of discretion when handling confidential client and business information
Client Meeting Coordination
  • Maintain the firm's recurring client review calendar
  • Proactively contact clients when they are due for periodic review meetings
  • Schedule and confirm meetings and send appropriate remindersTrack clients who have not yet scheduled their reviews and conduct appropriate follow-up
  • Help ensure meetings and important client touchpoints are not missed
CRM & Prospect Management
  • Maintain accurate client and prospect information in CRM
  • Update contact information, activities, tasks, and other client and prospect records
  • Create and maintain prospect and marketing contact lists
  • Assist with prospect follow-up and pipeline organization
  • Help maintain accurate and organized client and prospect data
Marketing & Events
  • Assist with the planning and coordination of client events and educational workshops
  • Create and maintain invitation lists
  • Coordinate invitations, RSVPs, reminders, and event follow-up
  • Assist with client and prospect mailings and marketing campaigns
  • Support other marketing initiatives and special projects as the firm grows

Experience in hospitality, customer service, executive support, office administration, professional services, luxury service, or another client-facing environment is preferred.

Prior financial services experience is not required.

Work Schedule

This is a full-time, in-office position at our Pittsford, New York office.

Because the Client Concierge Specialist is responsible for supporting our clients, Founder, and front-office operations, reliable in-person attendance beginning at 8:30 a.m. each business day is an essential requirement of the position.

This is not a remote or hybrid position.
