Client Care Team - Referral Coordinator Floater

Position Summary

Small Animal Client Services Floater is a dynamic role designed to support the seamless flow of the Small Animal Hospital Specialty Services. This position acts as the primary link between clients, referring veterinarians, and clinical staff. The successful candidate will remain highly adaptable, rotating among the admissions desk and client care team coordinator seats, managing referrals and appointments, and ensuring consistent, high‑quality service across all small-animal departments. The “Floater” designation requires the ability to move between roles as daily needs dictate.

Responsibilities
  • Referral Management – Respond to inquiries from referring veterinarians, enter patient medical history and referral data into the hospital system, develop and communicate medical cost estimates, facilitate Vet‑to‑Vet consultations, and send and deliver text messages for medical staff as needed. (35% of time)
  • Specialty Appointment Coordination – Facilitate scheduling, promptly and professionally respond to the multi‑line phone system, coordinate appointments for designated specialty services, input client, patient and clinician information into VetView, communicate with clients via email and phone to verify appointment details, serve as liaison between clients and medical staff, maintain composure and efficiency in fast‑paced situations, and effectively manage time. (35% of time)
  • Admissions & Front Desk Operations – Oversee front desk admissions workflow, provide outstanding client service from check‑in through visit, update records, open orders, notify medical personnel, generate pre‑admissions, schedule initial referral appointments, and book follow‑up appointments. (20% of time)
  • General Administrative Support – Assist with various administrative tasks as required, maintaining flexibility to support different small animal units during peak volume or staffing transitions. (10% of time)
Minimum Qualifications

High school diploma or equivalent.

Preferred Qualifications
  • Preferred experience within an animal hospital setting with advanced veterinary terminology utilized on a daily basis.
  • Advanced organizational skills in handling multiple priorities and varying clinical unit expectations and processes.
  • Proven experience establishing and maintaining professional relationships with multiple stakeholders, including clients, referring veterinarians, clinical teams, and administrative teams.
Knowledge, Skills, and Abilities
  • Proven ability to deliver excellent customer service in a calm, professional manner during challenging circumstances.
  • Effective collaborative relationships with faculty, staff, students, and other stakeholders.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and ability to learn VetView.
  • Ability to operate and maintain a multi‑line phone system and common office machinery.
  • Knowledge of veterinary terminology.
  • Excellent verbal and written communication skills.
  • Ability to maintain confidentiality with sensitive information.
Physical Demands
  • Lift and carry up to 15 pounds both assisted and unassisted.
  • Sit for long periods of time and use repetitive actions during the entire work day.
  • Deliver items throughout the Veterinary Teaching Hospital during the course of the day.
