  • A reliable computer, high-speed internet, and quiet private workspace, with availability for the 40-hour weekly commitment and agreed working days and shift times.

  • Review incoming emails and shared work queues at the start of each shift, identifying requested updates, missing details, stated deadlines, and the appropriate department contact.
  • Check each request against established clerical instructions before starting, confirming that names, reference numbers, department details, and requested changes are clear and consistent.
  • Enter approved updates into internal directories and administrative trackers, preserving existing formatting and checking each completed entry against the information supplied by the request owner.
  • Use a spreadsheets and data entry tool such as LibreOffice Calc to sort work lists, highlight duplicates with conditional formatting, and compare information with VLOOKUP functions.
  • Prepare routine administrative correspondence and meeting attendance lists using a word processor such as Microsoft Word, applying approved templates rather than creating new messaging.
  • Review spreadsheet totals and simple pivot tables to summarize completed requests, outstanding corrections, and items awaiting information for the administrative team lead.
  • Contact request owners when information is incomplete or inconsistent, explain exactly what needs clarification, and note the response needed before work can continue.
  • Follow up on unanswered requests according to team procedures, and elevate conflicting instructions, unresolved discrepancies, or competing priorities to the administrative team lead.
  • Check finished work before marking requests complete; quality is judged through accuracy, turnaround, complete notes, and timely follow-up rather than completion alone.
  • Close completed queue items with concise notes explaining changes made, notify the relevant contact, and leave clear handover notes for work still awaiting action.
