CLERICAL GENERALIST
JOB DESCRIPTION
SALARY: $20.52/hour
I. JOB DEFINITION
Early Learning Resource Center (ELRC) Clerical Generalist is responsible for covering the Front Desk and providing back-up clerical task coverage for the clerical team. This person is responsible for answering phones, greeting walk-ins, computer operation, generating electronic correspondence, incoming and outgoing mail as well as scanning, uploading and maintaining records in an electronic filing system. Work is performed with a considerable degree of initiative and independent judgement since duties and responsibilities may change daily. This position will be supervised by the Clerical Supervisor. This individual must bring a positive attitude to their work and naturally respond to challenges with 'can-do' and problem-solving sensibility. This person must strive to provide excellent customer service in all tasks.
II. RESPONSIBILITIES AND DUTIES
- 1. Answer and direct phone calls, emails, and faxes coming into the ELRC.
- 2. Great and direct visitors of the ELRC in a positive and professional manner.
- 3. Scan and upload documents into Pelican utilizing Adobe Pro including scanning and merging documents as needed. Perform a quality check of uploaded documents.
- 4. Utilize Pelican and Excel to organize data to provide periodic and/or special reports on family or provider information.
- 5. Coordinate the timely flow of incoming and outgoing mail.
- 6. Utilize web-based databases, Pelican, SharePoint and On-Base to store, review and update family and provider information.
- 7. Maintain family and provider files with a high level of confidentiality.
- 8. Serve as back-up to other clerical team members.
- 9. Attend and participate in clerical team meetings.
- 10. Operate and maintain office machinery, including copiers, fax machines, postage machine and printers.
- 11. Complete other duties as assigned.
III. QUALIFICATIONS
A. PROFESSIONAL KNOWLEDGE AND ABILITIES
- 1. Excellent computer skills with typing at a minimum speed of 50 words per minute.
- 2. Communicates effectively in verbal and written communications.
- 3. Excellent customer service skills.
- 4. Excellent organization, scheduling, and time management skills.
- 5. Excellent attention to detail.
- 6. Must be self-directed and able to work independently to achieve program objectives.
- 7. Previous experience working in Outlook, Teams, SharePoint & Adobe Pro preferred.
- 8. Perform related work as required.

- 2. Pennsylvania State police Request for Criminal Records Check (Act 34)
- 3. FBI Criminal Background Check (Act 73)
- 4. Full time position requiring 37.50 hours per week in Wood Street office.
C. EDUCATION AND EXPERIENCE
- 1. High school diploma or equivalency required and two years of experience in customer service, data entry and/or electronic record storage. Associates in business or public administration preferred.
