Job summary

Hampshire Constabulary currently seeks an experienced Administrative Officer to support case progression through the Criminal Justice System by preparing case files in line with Service Level Agreements.

You will act as a gatekeeper for court cases, triage and submit case files to the CPS for pre-charge advice, and ensure accurate prosecution materials are provided on time.

Qualifications

  • Educated to QCF Level 2 (3-5 passes) or equivalent work experience bringing candidate to comparable level.
  • Proven experience in a busy administrative environment performing complex administrative tasks to a high standard.

Responsibilities

  • Act as gatekeeper for all court cases and manage submission to the CPS for pre-charge advice.
  • Monitor CPS responses and charging decisions; disseminate to the OIC.
  • Prepare and quality‑assure prosecution files to support successful prosecutions.
  • Redact and prepare supporting evidence; liaise with OIC and CPS for further inquiries.
  • Apply National File Standards and disclosure protocols; ensure evidence accompanies submissions.
  • Identify interpreter needs and coordinate court attendance; manage reminders and deadlines.

Education

QCF Level 2 (or equivalent)
Relevant work experience in administrative environment

Job description

About the role: To support the effective progression of cases through the Criminal Justice System by preparing case files in accordance with Service Level Agreements. - Key Accountabilities include but are not limited to: 1. Act as a gatekeeper for all court cases. Obtain, triage, quality assure and submit case files to the CPS for pre-charge advice, in line with National File Standards and the Director Generals' Guidelines on disclosure. 2. Monitor and receive responses and charging decisions from the CPS and disseminate to the OIC. 3. Prepare, quality assure and submit accurate prosecution files which help to ensure successful prosecution rates. 4. Obtain, quality assure, redact, reformat and prepare any supporting/additional evidence. Liaise with the Officer in the Case (OIC) and the Crown Prosecution Service (CPS) to undertake further evidential enquiries when required, ensuring they are managed within the agreed timeframe(s). 5. Develop and apply knowledge of National File Standards, legal points to prove and disclosure protocols to ensure that key evidence accompanies prosecution files before submission to the CPS. 6. Undertake daily disposal searches and ensure prosecution materials are provided to the CPS by morning deadline. Conduct further hourly checks to ensure all required information is provided to the CPS and the Courts to ensure an effective remand court hearing. 7. Submit foreign previous convictions checks to the International Liaison Enquiries Team for victims and witnesses who were born outside of the UK 8. Enquiries to identify the location of prisoners and, if required, prepare Home Office Production Orders to ensure attendance at court. 9. Identify cases which require an interpreter to be present at court hearings. 10. Identify and prioritise specific cases, including, but not limited to, domestic violence, under 10 protocol and sexual offences, ensuring that the CPS are formally notified. 11. Create postal requisitions or single justice notices to be served on a defendant and list the matter for a court date. Support the location of defendants in instances where a postal requisition is returned and instigate the process for reissuance. 12. Give regular and effective service.

Educated to QCF Level 2 (3-5 passes) OR work experience deemed to have brought the postholder to a comparable level. Proven experience working in a busy administrative environment, undertaking complex administrative tasks to a high standard.
