Please note, The City of Aurora will conduct ongoing screenings of applications on a first come, first-serve basis; as soon as we determine to have a qualified pool of applicants, this position may close quickly and without notice.OVERVIEW OF POSITION / DEPARTMENTUnder the general direction of the City Clerk and under the supervision of the Deputy City Clerk, the City Clerk Analyst is responsible for a variety of high-level administrative and technical duties in support of the City Clerk’s office.PRIMARY DUTIES & RESPONSIBILITIESBoards and CommissionsCoordinate with department staff to advertise for board and commission member vacancies and respond to public inquiries regarding the position and application processAssist department staff with on-boarding of appointed members to include the organization of training programs for staff and the appointed membersCollaborate with department staff to develop and maintain current and accurate records of appointments, terms, bylaws, etc. and make information available to the public to ensure transparencyPerform an accurate recording of the proceedings and preparation of minutes using proper legislative terminology, recording, indexing, and filing for the public recordFacilitates community outreach and engagement efforts to promote City Boards and Commissions, educate the public on volunteer opportunities, and recruit qualified applicants for vacanciesMayor and Council SupportReview a variety of reports and documentation submitted for elections and lobbyist registration to ensure compliance with the City Code, City Charter, and all relevant state statutesProvides administrative and operational support during City Council meetings, as needed, to ensure meetings run smoothly and efficientlyDay-to-Day OperationsProvide exceptional customer service when responding to inquiries and requests made by the public and city staffServe as liaison between software providers and department staff; corresponding regularly with the providers and staff to stay well-informed of updates, test modules, and assist in resolving issuesTrain staff and members of the public in the use of online modules as neededDevelop and assist in the implementation of processes and procedures that follow the statutory guidelines for conducting public meetingsIn a manner consistent with the Open Meetings Law; ensure agendas, minutes, and public notices are distributed and posted for all meetings, public hearings, and potential quorumsPrepare, review, and process a variety of departmental documents and reportsDevelop and maintain filing and record keeping systems for a variety of correspondence and records;
