Job description

The Circuit Delivery Coordinator / Delivery Specialist is a specialized project coordination role focused on the successful delivery and activation of customer telecommunications services. The position supports the deployment of Broadband, Dedicated Internet Access (DIA), LEO satellite, Fixed Wireless, and 5G wireless services across domestic and international locations. Working directly with an assigned Project Manager, this role is responsible for the day-to-day coordination and milestone management required to move circuit orders from order entry through installation, testing, turn-up, and final closeout. The Coordinator serves as a key connection point between customers, internal delivery teams, engineering resources, and multiple carrier partners, ensuring information is accurate, current, and actionable throughout the delivery lifecycle. The ideal candidate is highly organized, detail-oriented, persistent, and comfortable managing a high volume of moving parts. Prior telecom or carrier experience is helpful but is not required; the ability to learn carrier processes, understand project dependencies, maintain accurate records, and proactively follow up is essential.

Core Responsibilities
  • Support assigned Project Managers with the coordination and delivery of multiple circuit and wireless service deployments simultaneously.
  • Own day-to-day milestone tracking for assigned orders, including order submission, carrier acceptance, site readiness, construction, provisioning, installation scheduling, testing, turn-up, and closeout.
  • Monitor carrier portals and ordering platforms for status changes, appointment updates, provisioning milestones, order exceptions, and required actions.
  • Maintain accurate and timely updates in internal project management, CRM, ticketing, and circuit tracking systems.
  • Coordinate with multiple carrier partners, including domestic and international providers, to obtain status, resolve discrepancies, confirm requirements, and keep orders moving.
  • Track critical dates, dependencies, aging orders, missed milestones, and customer commitments; proactively notify the Project Manager when an item is at risk.
  • Coordinate site-specific information including contacts, access requirements, demarcation information, rack/location details, LOA requirements, and installation instructions.
  • Schedule and confirm carrier technician appointments and coordinate customer/site readiness for installation activities.
  • Validate carrier order details against customer requirements and identify discrepancies in bandwidth, service type, location, demarcation, pricing/order references, or requested dates.
  • Collect and organize delivery documentation, including order confirmations, LOAs, test results, installation notes, speed validation, circuit IDs, and turn-up information.
  • Support circuit activation and basic Layer 1 troubleshooting during installation and turn-up; training will be provided on company processes and relevant technologies.
  • Communicate professionally and consistently with customers, carriers, project managers, engineers, and internal stakeholders through email, phone, meetings, and carrier portals.
  • Escalate delays, construction issues, access problems, carrier exceptions, missed commitments, or other risks that could impact project timelines or customer expectations.
  • Follow established delivery procedures, SLAs, quality standards, and documentation requirements throughout the circuit lifecycle.
  • Identify recurring carrier or process issues and provide feedback to the Project Manager and delivery leadership to improve operational efficiency.
Key Milestone Management Expectations
  • Maintain a clear view of every assigned circuit's current stage, next milestone, owner, due date, and blocking issue.
  • Perform proactive follow-up rather than waiting for carrier or customer updates.
  • Keep project and carrier records synchronized so internal systems reflect the most current delivery status.
  • Identify aging or stalled orders early and elevate with enough lead time to protect customer commitments.
  • Ensure every completed milestone has the required supporting documentation before progressing to the next phase.
Qualifications
  • High school diploma or equivalent required; Associate degree or some college coursework preferred.
  • 1–3 years of experience in project coordination, customer operations, telecommunications, IT, network services, or a similar environment preferred.
  • Telecom/carrier experience is preferred but not required; demonstrated ability to learn carrier processes and technical concepts may substitute.
  • Strong verbal and written communication skills with the ability to communicate effectively with customers, carriers, and internal stakeholders.
  • Exceptional organization, time management, follow-through, and attention to detail.
  • Intermediate or greater proficiency with Microsoft Excel and Microsoft Office.
  • Comfort working in multiple web-based portals, ticketing systems, CRM platforms, and project tracking tools.
  • Basic understanding of networking concepts such as circuits, bandwidth, IP addressing, routers, switches, demarcation points, and service activation preferred.
  • Ability to manage competing priorities and a high volume of orders without losing attention to detail.
Success Factors
  • Highly organized and disciplined with strong ownership of assigned work.
  • Naturally proactive and persistent when following up with carriers and internal stakeholders.
  • Strong attention to detail and a low tolerance for inaccurate or incomplete data.
  • Comfortable working in a fast-paced environment with shifting priorities and multiple concurrent deployments.
  • Ability to recognize when a routine issue has become a project risk and elevate appropriately.
  • Customer-service mindset with professional communication and strong follow-through.
  • Demonstrated ability to learn new systems, carrier processes, and telecom concepts quickly.
What This Role Is — and Is Not

This is a specialized delivery coordination position rather than a traditional administrative coordinator role. Success depends on actively driving circuit milestones, maintaining accurate carrier and project records, coordinating across multiple providers, and identifying issues before they affect the customer. The role does not require extensive telecom experience at entry; the organization can provide training on carrier processes, systems, and technical fundamentals.
