Flora Legal Group is an Indianapolis-based immigration firm committed to serving the immigrant community. We are seeking an experienced Chief Operating Officer (COO) with a heart and passion to help immigrants and a desire to thrive in a growing, team-oriented immigration practice. As COO, you will be responsible for leading day-to-day operations, building a scalable infrastructure, and driving efficiency. You will serve as the firm’s EOS Integrator, translating vision into execution, aligning teams, and ensuring accountability and performance at every level. The ideal candidate has deep operational expertise, a strong understanding of law firm financials, and a passion for optimizing systems using technology and AI. While this role is fully remote, we would strongly prefer a candidate who can travel to Indianapolis, IN on occasion to connect with the team in person.
Key Responsibilities:
- Firmwide operational leadership;
- Serve as the EOS Integrator, owning execution of the firm's strategic plan in partnership with the Visionary, Jason Flora (firm owner);
- Analyze team structures, workflows, and tools to reduce labor costs and increase operational efficiency;
- Build and implement systems that allow for scalable growth without proportional increases in headcount;
- Update, develop, and monitor KPIs to measure productivity, client satisfaction, and operational performance;
- Champion the adoption of AI tools, automation, and legal tech to streamline casework, reduce manual tasks, and improve accuracy;
- Oversee implementation and training for software platforms (case management, CRM, finance, HRIS, etc.);
- Identify and test emerging technologies that could provide a competitive advantage or cost savings;
- Partner with the finance team to manage budgets, forecasts, and cash flow across all departments;
- Analyze labor ratios and other key financial indicators to inform hiring, compensation, and scaling decisions;
- Develop systems for cost control and margin improvement, while maintaining excellent client outcomes;
- Lead, hold accountable, and manage the leadership team, fostering accountability, development, and team alignment;
- Oversee performance management of operations and support staff;
- Maintain a culture of continuous improvement, aligned with the firm’s mission to empower immigrants and deliver exceptional legal services;
- Work cross-functionally with the legal, administrative, and client engagement teams to ensure consistent, high-quality service delivery and quality work performance;
- Help oversee systems for client intake, communication, and satisfaction, aligning operations with brand standards and mission;
- Ensure operational compliance and risk compliance with legal, professional, and ethical standards across all locations;
- While this is a remote position, occasional in-person visits are strongly preferred. The ability to travel periodically is not required but would be highly beneficial for building strong relationships and staying closely connected with the team;
- Align leadership around key priorities, participate in Level 10 meetings, quarterly planning, and annual planning, and ensure clear communication and follow-through across all departments;
- Drive clarity, structure, and performance across departments through metrics, processes, and consistent communication.
Qualifications:
- Minimum 5 years of executive operational leadership experience in a law firm or legal setting;
- Previous experience in a law firm with at least $20 million in annual revenue is required;
- Immigration law firm experience is highly preferred;
- Bachelor's Degree required. Bachelor's Degree or Master's Degree in Business, Operations, Management, or Finance highly preferred.
- Proven track record of implementing EOS (Entrepreneurial Operating System) as an Integrator or in a similar executional leadership role;
- Demonstrated success reducing labor costs, optimizing operations, and increasing profitability in a growth environment;
- Strong technological fluency, with experience implementing automation tools, AI solutions, and legal tech platforms;
- Be self-motivated, intellectually curious, and possess a strong work ethic;
- Enjoy continuous learning in a fast-paced and friendly work environment.
- Deep understanding of law firm metrics, financial drivers, and operational levers;
- A passion to help underserved people groups;
- Excellent leadership, project management, and communication skills.

Compensation is commensurate with experience and includes performance-based bonuses.

Pay: $175,000.00 - $275,000.00 per year
