About Primal Bod

Primal Bod is a fast-growing, family-owned natural weight loss business founded in June 2023, dedicated to empowering women’ weight loss utilizing sustainable, holistic, and science-based principles. With approximately $7.5 million in annual revenue, we’ve helped over 6,000 women lose an average of 17 pounds in 6 weeks and 28 pounds in 12 weeks, earning 650+ 5.0-star Google reviews. Targeting women aged 30–60, we prioritize a human-to-human (H2H) approach, treating clients like family. This remote position demands relentless operational excellence, stringent regulatory compliance, and exceptional communication and training skills to elevate our team, particularly our coaches, whose performance is critical to our success. Candidates must be willing to travel as needed for team alignment and business needs (roughly one to three times per quarter). Those without significant health and wellness experience or regulatory expertise will not be considered.

The Opportunity

We seek a decisive, results-driven Chief Operating Officer (COO) to lead our operational strategy, enabling our founders to focus on content creation. The COO will oversee our Head of Coaching and Head of Admin, driving systems, processes, and compliance while fostering a culture of excellence through frequent communication and targeted training, especially for coaches. This role demands a Type D (DiSC) leader—dominant, autonomous, and adept at making tough calls in a fast-paced environment—who excels at developing teams and ensuring regulatory compliance. A major component of the COO’s success, including bonus eligibility, will be evaluated based on the performance of their employees, particularly the coaches’ ability to deliver exceptional client outcomes and maintain compliance.

Key Responsibilities

·Operational Leadership: Design and implement standard operating procedures (SOPs) for client complaints and refunds, client communications, and legal/regulatory compliance, ensuring consistency and efficiency through clear communication and employee training.

·Team Management and Training: Direct the Head of Coaching and Head of Admin, providing regular communication and hands-on training to enhance performance, with a strong focus on developing coaches’ client interaction and compliance skills.

·Customer Service Excellence: Resolve complex customer service issues, training coaches to handle interactions with empathy and professionalism to maintain high Google review ratings.

·Regulatory Compliance: Collaborate with external legal counsel to strengthen compliance with health and wellness regulations (e.g., FTC health claims, HIPAA, data privacy). Conduct fact-finding, deliver comprehensive coach training on compliance requirements, and develop processes for continuous auditing, including annual signed acknowledgments (e.g., confirming understanding of the Participation Agreement).

·Compliance Auditing: Audit coach-to-client communications for adherence to legal requirements and internal policies, providing targeted training to address root causes of non-compliance and ensure consistent client satisfaction.

·Operational Dashboards: Design and maintain dashboards to proactively identify issues, tracking metrics like complaint and refund trends by membership level over time to resolve root causes. Implement methods to identify and support struggling clients, training coaches to improve client retention and satisfaction.

·Product Delivery and Cost Efficiency: Ensure consistent delivery of Primal Bod’s weight loss program while preventing over-delivery, optimizing costs to maintain competitive pricing and margins, and training employees to align with these goals.

·Sustainable Growth: Build scalable frameworks to support expansion while ensuring compliance, supported by clear employee communication and training.

·Performance Optimization: Drive employee performance, particularly among coaches, through ongoing training, feedback, and strategic hiring.

·Strategic Alignment: Translate founders’ vision into operational plans, communicating goals clearly to employees to ensure alignment.

·Metrics & Reporting: Track KPIs for efficiency, team performance (especially coach effectiveness), customer satisfaction, and compliance, reporting to founders and using data to guide training initiatives.

Qualifications

·Bachelor’s degree in a business-related field (e.g., Business Administration, Management).

·Minimum 10 years of professional experience, including 5+ years in senior operational leadership roles within the health and wellness industry.

·Proven expertise in health and wellness regulations (e.g., FTC health claims, HIPAA, data privacy), with experience collaborating with legal counsel and delivering compliance training to teams.

·Type D (DiSC) personality: demonstrated ability to make decisive, high-stakes decisions under pressure and lead through direct, effective communication.

·Exceptional communication skills, with a track record of training and developing teams, particularly in client-facing roles like coaching, to achieve measurable performance improvements.

·Experience resolving customer service issues and auditing communications for compliance in a health or wellness business, with an ability to train others to do the same.

·Proficiency with operational tools (e.g., CRM systems like HubSpot, dashboard tools like Tableau, process management software).

·Strong organizational and problem-solving skills, with a focus on process optimization, cost efficiency, and employee development.

·Passion for fostering human-to-human client connections in a customer-centric business.

·Ability to work independently in a remote, entrepreneurial environment with periodic travel.

·Proven leadership in managing and evaluating employee performance, with success tied to team outcomes, particularly in coaching or client-facing roles.

Compensation

·Base Salary: $175,000 annually

·Discretionary Performance Bonus: Up to $25,000 in year one, contingent on achieving operational and regulatory objectives, with a major component tied to the performance of employees, particularly coaches, in delivering client outcomes and maintaining compliance.
