Location: VIP Tires & Service Support Center, 24 Harriman Drive, Auburn, Maine 04105

Reports To: Chief Executive Officer (CEO)

We are seeking a highly skilled and strategic Chief Administration Officer (CAO) to oversee and streamline administrative operations; someone who wants to join a Maine-based, family-owned industry-leading company with a great people-first culture.

The CAO will play a key leadership role in ensuring organizational stability, compliance, and efficiency by managing risk, human resources, legal affairs, and project execution. This executive will work closely with the CEO and executive leadership team to align administrative functions with company strategy, ensure compliance to standards, drive operational excellence, and support sustainable, profitable growth.

Responsibilities
  • Develop and oversee enterprise risk management strategies and functions to identify, assess, and mitigate risks.
  • Ensure compliance with company and industry standards, safety regulations, insurance requirements, and loss prevention guidelines.
  • Implement proactive measures to reduce liability and operational disruption.
  • Lead HR strategy, including workforce planning, talent acquisition, training and employee development.
  • Oversee payroll, performance management, compensation and benefits programs.
  • Champion a positive people-first workplace culture that fosters engagement, improves retention and promotes professional growth for all team members.
  • Ensure compliance with all federal, state and local labor laws.
  • Lead strategic and operational projects across various departments (H.R., I.T., Merchandising, etc.) ensuring on-time, within-budget and high-quality execution.
  • Implement and teach project management best practices across management team, implementing tools and processes for continuous improvement.
  • Collaborate with teams to improve compliance and efficiency.
  • Become an expert in the company’s risk management affairs, including contracts, vendor agreements, employment law and dispute resolution.
  • Serve as the primary liaison with external legal counsel.
  • Ensure regulatory compliance across all company locations.
Qualifications
  • Bachelor’s / Master’s degree in Business Administration, Engineering or related field.
  • 10+ years of progressive leadership experience in operations, administration, HR or risk management, preferably in a service or automotive-related industry.
  • Strong understanding of operational excellence, corporate strategy, employment law, corporate governance and regulatory compliance.
  • Proven track record in project management and operational efficiency initiatives.
  • Exceptional communication, leadership and decision-making skills.
  • Ability to manage multiple priorities in a fun, fast-paced environment.
  • Strategic thinking with a hands‑on operational mindset.
  • Integrity, discretion and sound judgment in sensitive matters.
  • Strong interpersonal skills with the ability to influence at all levels.
  • Problem‑solving orientation with a focus on continuous improvement.
