Job summary

Houston Eye Associates is seeking an Ophthalmic Scribe to travel between Gramercy, Tanglewood, Sugar Land, Pearland, and Memorial City locations. You will document physician exams in the EMR, assist during procedures, and help maintain patient flow and confidentiality.

The role requires 1–2 years of ophthalmology experience, strong computer skills, and the ability to travel as a floater. BLS certification is required, with JCAHPOOCS certification encouraged within one year.

Qualifications

  • Education: High School Diploma or GED; experience with ophthalmology preferred.
  • 1–2 years of experience working with ophthalmologists.
  • Certifications: BLS; Ophthalmic certifications (OCS) expected within 1 year.
  • Experience in charting, documentation, and assisting during ophthalmic exams.

Responsibilities

  • Correctly summarizes and documents patient exams for physicians, including charting in the EMR.
  • Observes and assits during exams, handling instruments and medications as needed.
  • Maintains patient confidentiality and adheres to HEA policies and regulations.
  • Prepares consent forms and referral letters, ensures materials are sent to referring physicians.
  • Performs preliminary visual health testing and assists with minor procedures.
  • Works as a floater across HEA locations to support staffing needs.

Job description

Position Summary

Contributes to the organization by traveling to different HEA locations to accurately collect and document exam information into the electronic medical record system for the Ophthalmologist while maintaining patient flow within the clinic. Main locations include Gramercy, Tanglewood, Sugar Land, Pearland, and Memorial City.

Essential Duties & Responsibilities
  • Correctly summarizes and documents the patient exam for the physician, including proper charting of the examination, documenting additions to the chief complaint, assessment, and recommendations for treatment.
  • Observes the patient and the physician and assists when appropriate during the exam, including holding the patient’s head in the slit lamp and providing additional medications and/or instruments.
  • Maintains an awareness of the patient’s verbal and non-verbal communication when the physician is providing instructions and reviewing patient education materials.
  • Prepares and ensures all consent forms are complete and accurate prior to in-office procedures.
  • Prepares referral letters as directed by the physician via dictation or summary of the medical record.
  • Ensures that referral letters and copies of pertinent reports or tests are sent daily to all referring physicians involved in the patient’s care.
  • Performs preliminary testing assessing visual health of patient.
  • Assists with minor procedures.
  • Prepares and cleans the room after procedure.
  • Provides quality patient care for all patients, directly or indirectly.
  • Maintains patient confidentiality.
  • Reviews all data for errors and misspellings.
  • Assists in the training of other ophthalmic scribes.
  • Adapts to frequent changes within the clinic without loss of efficiency or composure.
  • When not in the exam room, assists with various secretarial duties, including answering phone calls, scheduling appointments, refilling prescriptions with doctor consent, and answering various questions pertaining to the practice.
  • Meets and adheres to HEAs policies and procedures, upholds the highest ethical principles, and complies with all State and Federal regulations.
  • Other duties as assigned based on business operational needs.
Floaters

As a floater, this position is designed to travel between HEA locations to support the staffing needs of multiple locations and/or departments. Work location and/or department may be assigned at short notice.

Qualifications

Education: High School Diploma or GED equivalent preferred.

Experience: Minimum 1–2 years of experience working with ophthalmologist.

Certifications & Licenses

Basic Life Support (BLS). If not BLS certified at the time of employment, must be obtained within 6 months of hire date.

Uncertified Ophthalmic Scribes must obtain JCAHPO (OCS) certification within 1 year of employment.
