Job summary

North American Mental Health Services provides comprehensive behavioral health services. The Certified Medical Assistant supports providers, performs patient check-ins, records vitals, and assists with injections, Rx processing, and ambulatory care tasks in a fast-paced mental health clinic.

Ideal candidates have CMA certification or willingness to obtain it within 90 days, 1 year of relevant outpatient experience, and strong EHR proficiency.

Qualifications

  • High school diploma or GED required.
  • AA degree or equivalent preferred.
  • CMA certification required or willingness to obtain within 90 days.
  • Current BLS certification preferred.
  • Minimum 1 year of outpatient or community mental health experience preferred.
  • Experience serving underserved populations preferred.
  • Bilingual Spanish/English preferred.
  • Proficiency in EHR and clinical documentation required or preferred.
  • Knowledge of insurance verification helpful.

Responsibilities

  • Greet patients, verify information, and manage check-in/out per clinic protocols.
  • Take vitals (height, weight, blood pressure, etc.) and document in the EHR.
  • Administer injections under supervision.
  • Process Rx requests and mail prescriptions as needed.
  • Handle TARs and prior authorization requests.
  • Review lab results at provider request and document findings.
  • Generate letters and maintain specimen closet per provider instructions.
  • Assist with telehealth/Zoom visits and basic IT tasks in EMR.

Position SummaryThe Certified Medical Assistant (CMA) plays a crucial role in supporting providers and ensuring the efficient operation of clinical services at North American Mental Health Services. This position is responsible for providing direct patient care, assisting with administrative and clinical tasks, and maintaining a welcoming and professional environment for patients and staff.Essential Duties & ResponsibilitiesCoordinate care and communication with psychiatrists, case managers, pharmaceutical reps, clinical personnel and other behavioral health professionals to ensure continuity of services. Assist prescribing providers at their requestEnsure compliance with HIPAA, ethical, and professional guidelines in all client interactions and documentation.Adhere to all organizational policies and procedures related to client care, confidentiality, and professional conduct.Patient check-in, vitals, height, weight, blood pressure, oxygen level, chief complaints, drug and food allergies, medication reconciliation and immediately record into the encounter – appropriately update the Electronic Health Record (EHR) systemMaintain medical records / EHR, document all care-related conversations with a patient or provider regarding patientGive injections under the direct supervision of a provider, using the current standard for Universal PrecautionsCall/Fax Rx requests including but not limited to refill requests, final Rx’s for suspended patients, upon request, and mailing prescriptions as neededProcess TAR’s and prior authorization requestProvide lab results at providers’ requestWrite letters per provider’s instruction; efficiently generate necessary letters (ESA/Unemployment/jury/etc.)Maintain sample closet, keep sample logs updated and disperse samples at provider’s requestPerform the following tests/screens: urine tox screens and genetic testing as requested by providers. Collection of urine/oral toxicology samples; sendoff same day.Assist with welfare check and 51/50 callsAttend mandatory staff meetingsGreet patients, visitors, and staff in a professional and welcoming manner.Check in/out, schedule, reschedule, cancel and confirm patient appointments in accordance with clinic protocols. Proactively monitoring the following week’s schedule. Adjusting patients as needed to assure maximum scheduling efficiencyAnswer incoming calls, route messages appropriately, and respond to inquiries regarding appointments, services, and policiesAssist with administrative tasks, such as scanning documents, data entry, and maintaining office supplies. Scan all documents, upload and label in patient charts in Electronic Medical Record (EMR). Check EMR to verify patient information is updated as needed.Room patients as needed; via Zoom / telehealth / virtual conference as needed.Address patient concerns with professionalism and empathy, escalating issues to the appropriate department when necessary. Document conversations and events with patients regarding issues, needs, or concerns.Ensure the reception area is clean, organized, and stocked with necessary materials.Minimum QualificationsEducation: High school diploma or general education degree (GED)Preferred - Associate degree (AA) or equivalent from a two-year college or technical school, or six months to one years related experience and/or training, or equivalent combination of education and experience.Licensure: Medical Assistant certification (CMA, RMA, or equivalent) required.Must be certified or willing to get certified within your first 90 days of employment.Current Basic Life Support (BLS) certification preferred.Experience:Minimum of [1] year of experience in an outpatient, community mental health, or similar clinical setting.Experience working with underserved populations, including Medi-Cal recipients, at-risk individuals, and those with severe mental illness is preferred.Technical Skills:Proficiency in electronic health records (EHR) and clinical documentation.Basic knowledge of insurance verification and medical terminology preferred.Bilingual in Spanish/English preferred.Soft Skills:Ability to work both independently and collaboratively within a multidisciplinary team.Strong interpersonal and communication skills with the ability to interact effectively with diverse populations.
