Job summary

St. Louis Development Corporation seeks a Certification Assistant to serve as the first point of contact for the City of St. Louis Local M/WBE certification program.

You will verify documents, assist applicants, and organize materials for review. In a flexible hybrid environment, you will support Certification Analysts, schedule meetings, prepare letters, and maintain the city directory, contributing to a transparent, inclusive economic development effort.

Qualifications

  • Bachelor's degree in a related field or equivalent work experience preferred.
  • 2-3 years of experience with governmental organizations, small businesses, or related fields.

Responsibilities

  • Determines eligibility of applicants to start the certification process.
  • Reviews documents for completeness; verifies certificates, operating agreements, licenses, work history, loans, insurance, and other documents.
  • Assists applicants to ensure required information is submitted to the certification analyst.
  • Assists applicants in opening an account and uploading documents into the B2G system and BOSS portal.
  • Prepares information to assist the certification analyst with company profile packages for PRC meetings.
  • Prepares and issues W/MBE certification letters and maintains city directory entries.
  • Supports Certification Analysts to ensure a seamless application process.
  • Coordinates and schedules meetings for the Certification Analyst; arranges venues, sends notices, prepares agendas.

POSITION OVERVIEW

Certification Assistant will serve as the first point of contact at the Northside Economic Empowerment Center (NEEC) for the certification process of Minority Business Enterprise (MBE) and Women-owned Business Enterprise (WBE) programs. Specific duties and responsibilities include but are not limited to the following:

RESPONSIBILITIES AND SCOPE
  • Determines whether applicants or firms are eligible to start the certification process in the City of St. Louis Local M/WBE Program.
  • Thoroughly reviews documents before submitting applications as complete; verifies corporate certificates, operating agreements, professional licenses, work history, outstanding loans, proof of insurance, and other related documents.
  • Assists applicants to ensure all requested information and required documents are submitted to the certification analyst to begin the application process.
  • Assists applicants in opening an account and uploading documents into the B2G system and BOSS portal.
  • Organizes and prepares information to assist the certification analyst with preparing company profile packages for the monthly Public Review Committee (PRC) meetings.
  • Prepares and issues W/MBE certification letters to firms, and maintains and uploads new firms into the city online directory.
  • Assists and serves as support to all M/WBE Certification Analysts to ensure firms have a seamless, efficient, and effective application process.
  • Coordinates and schedules meetings for the Certification Analyst; organizes and arranges meeting places, creates and sends notifications, prepares agendas, and conducts MBE/WBE information meetings.

QUALIFICATIONS
  • Must be detail-oriented, efficient in proofreading applications, and proficient in data entry and Microsoft Office suite/excel.
  • Must have strong written and verbal communication skills.
  • Willing to learn and has a genuine passion for personal and professional growth.
  • Strong interpersonal skills to work effectively with colleagues and clients.
  • Excellent listening skills to understand and address needs.
  • Previous small business experience is a plus.
  • Expected to handle conflicts professionally and efficiently.
  • Exceptional multitasking skills and ability to organize work effectively to meet deadlines.
  • Strong sense of confidentiality and ability to safeguard program information.
  • Proficiency in technology and use of digital tools and platforms.
  • Knowledge and passion for economic development, and desire to make a tangible impact on the community.
  • Strong analytical and innovative skills; ability to think critically and develop creative solutions.
EXPERIENCE AND EDUCATION
  • Bachelor's degree in a related field, or equivalent work experience is strongly preferred.
  • 2-3 years of experience working with governmental organizations, small businesses, or in a related field.
POSITION TYPE / EXPECTED HOURS OF WORK

This is a full-time, exempt position with health benefits and paid time off. While our traditional work hours are from 9:00am to 5:00pm, SLDC provides a flexible/hybrid work environment of both onsite and offsite work and follows a customized work schedule of 40 hours per week for full-time employees. Evening and weekend work is required as job duties demand.
