Central Supply Coordinator
Job Summary

The Central Supply Coordinator is responsible for ordering, receiving, storing, distributing, and maintaining all medical, nursing, housekeeping, and facility supplies required for daily operations of the nursing home. This position ensures adequate inventory levels, cost-effective purchasing, compliance with facility policies, and timely distribution of supplies to support resident care and departmental needs.

Essential Duties and Responsibilities
Inventory Management
  • Maintain appropriate inventory levels of medical, nursing, housekeeping, dietary, and maintenance supplies.

  • Conduct routine inventory counts and reconcile discrepancies.

  • Monitor usage patterns and adjust stock levels accordingly.

  • Organize and maintain central supply storage areas in a clean, safe, and orderly manner.

Purchasing and Receiving
  • Order supplies from approved vendors according to facility needs and budget guidelines.

  • Verify deliveries against purchase orders and packing slips.

  • Inspect incoming shipments for quality, quantity, and damage.

  • Process returns, credits, and discrepancies with vendors as needed.

Distribution of Supplies
  • Issue supplies to nursing units and other departments as requested.

  • Ensure departments receive necessary supplies in a timely manner.

  • Track and document supply usage and distribution.

Compliance and Safety
  • Ensure proper storage of supplies according to manufacturer recommendations and regulatory requirements.

  • Monitor expiration dates and rotate stock to minimize waste.

  • Maintain compliance with state, federal, OSHA, infection control, and facility regulations.

  • Follow standard precautions and safety procedures when handling supplies.

Record Keeping
  • Maintain accurate records of purchases, inventory levels, receipts, and usage.

  • Assist with budget tracking and cost-control initiatives.

  • Prepare reports related to inventory and purchasing activities as requested.

Collaboration
  • Work closely with nursing, housekeeping, maintenance, dietary, and administration staff to identify supply needs.

  • Participate in quality improvement and cost-reduction efforts.

  • Assist during emergency preparedness situations by ensuring critical supplies are available.

Qualifications
  • High school diploma or GED required.

  • Previous experience in central supply, inventory control, purchasing, healthcare, or long-term care preferred.

  • Knowledge of medical and nursing supplies is preferred.

  • Strong organizational and time-management skills.

  • Basic computer proficiency, including Microsoft Office and inventory management systems.

  • Ability to communicate effectively with staff, vendors, and management.

Physical Requirements
  • Ability to lift, carry, push, and pull up to 50 pounds.

  • Frequent standing, walking, bending, stooping, and reaching.

  • Ability to move supply carts and inventory throughout the facility.

Work Environment
  • Nursing home/long-term care facility environment.

  • Exposure to cleaning agents, medical supplies, and healthcare settings.

  • May be required to work occasional weekends or holidays based on facility needs.

Additional Administrative Support Responsibilities

In addition to Central Supply responsibilities, the employee may be required to provide limited administrative support as directed by the Administrator or Director. These duties are secondary to the primary supply management role and may include:

  • Basic clerical tasks such as filing, copying, scanning, and data entry.

  • Answering and directing telephone calls as needed.

  • Assisting with guest services by greeting visitors, residents' families, vendors, and directing them appropriately.

  • Providing coverage for the reception area during breaks, lunches, or staff absences.

  • Assisting with preparation and distribution of facility communications, forms, and notices.

  • Supporting administrative staff with routine office tasks and special projects as assigned.

  • Maintaining confidentiality of resident, employee, and facility information at all times.

Note: Administrative and guest service duties are limited in nature and performed as needed to support the overall operations of the facility. The primary focus of this position remains the management and coordination of facility supplies and equipment.
