Job summary

Colorado PACE seeks a Center Administrative Assistant to provide executive-level support to the President and Center Director. You will coordinate calendars, scheduling, communications, and data management across Colorado PACE and Pathways PACE, while guiding daily operations.

You will supervise one Receptionist and handle travel, meetings, and contract onboarding. A strong leadership background in healthcare support matters, with data-driven thinking, is essential.

Qualifications

  • Minimum Education: Associate degree preferred. Experience in lieu of education will be considered.
  • Minimum Experience: Passion for working with the elderly and strong leadership within a team.
  • Experience in health care services for frail populations and strong personnel skills.

Responsibilities

  • Provide executive-level administrative support to the President, Center Director, and IDT.
  • Manage complex calendars, scheduling, and travel for leadership.
  • Coordinate internal/external meetings and take meeting minutes.
  • Maintain project trackers, action-item logs, and SOP/version control.

Colorado PACE has an immediate opening for a Center Administrative Assistant.

LOCATION:Aurora and Greeley, CO

STATUS:Full-time

SCHEDULE:Monday-Friday, 8-4:40

HOURLY PAY RANGE: $21.06 - $24.75

SUPPLEMENTAL PAY: Based on position, schedule and/or availability: Overtime

MILEAGE AND EXPENSE REIMBURSEMENT: Sixty-two and a half cents per mile – one of the highest in the industry!

REWARDING WORK YOU WILL DO:

The Center Administrative Assistant will provide executive-level administrative support to the President and Center Director while serving as the primary administrative resource for the Interdisciplinary Team (IDT). The position will coordinate internal operations, calendars, scheduling, communications, data management, and administrative workflows across Colorado PACE and Pathways PACE, while continuing to support key operational functions within the Center.

The position will supervise one direct report (Receptionist) and provide reception coverage during lunch breaks and other scheduled absences.

People

  • Provide confidential administrative support to the President, Center Director, and IDT leadership.
  • Manage complex calendars and scheduling for leadership.
  • Coordinate internal and external meetings.
  • Record meeting minutes and track action items.
  • Maintain executive priorities and deadlines.
  • Screen, prioritize, and route communications appropriately.
  • Coordinate travel, external training, conference registrations, and contract onboarding activities.
  • Support the IDT with administrative tasks.

Operational Coordination

  • Coordinate interdisciplinary team meeting schedules.
  • Maintain organization-wide calendars.
  • Coordinate internal scheduling for staff and leadership.
  • Manage outside participant scheduling with specialty providers and external partners.
  • Lead the daily Morning Meeting, document key updates, and serve as meeting scribe.
  • Maintain project trackers and organizational action-item logs.
  • Coordinate document routing for signatures.
  • Assist with contract routing and administrative workflows.
  • Maintain policy and SOP version control.
  • Manage the organization's on-call schedule.
  • Provide reception coverage during lunch periods and other planned absences.

Data & Information Management

  • Perform accurate data entry into organizational databases and tracking systems.
  • Keep the EMR updated with appropriate administrative information.
  • Maintain operational spreadsheets, dashboards, and tracking tools.

Participant & Program Support

  • Respond to participant concerns and grievances in a timely manner.
  • Oversee assigned process improvement projects.
  • Schedule and coordinate contracted providers.
  • Educate contracted providers regarding Colorado PACE processes and expectations.
  • Coordinate participant scheduling with outside providers.
  • Support daily operational workflow across all PACE programs.

Community Engagement

  • Educate community members, healthcare providers, and educational institutions regarding Colorado PACE philosophy and services.
  • Empower staff to develop community relationships and promote Colorado PACE services.

Leadership & Supervision

  • Supervise the Receptionist.
  • Provide coaching, performance feedback, and annual evaluations for the Receptionist.
  • Promote teamwork and excellent customer service throughout the organization.
  • Ensure efficient front office operations and administrative support services.

  • Required License: Valid Colorado Driver License and proof of auto insurance in accordance with state statute

PHYSICAL REQUIREMENTS:

  • Ability to lift/carry a minimum of 30 lb.
