Job summary

maman, a French bakery and lifestyle brand, seeks a Catering Coordinator to support daily catering operations and client relationships. You will coordinate orders from start to finish, ensuring accuracy and on-time fulfillment, while collaborating with store teams to reflect maman’s brand in every order.

You will manage Lunchbox orders, assist with off-platform requests, and help maintain strong client communications and cross-functional partnerships to deliver exceptional catering experiences.

Qualifications

• 2 years catering coordination experience preferred.
• Strong computer skills and comfort learning new software and platforms.
• Experience with third-party delivery and catering platforms preferred; experience with Tripleseat is a plus.
• Strong organizational and time-management skills.
• Excellent written and verbal communication skills; ability to prioritize and manage multiple tasks in a fast-paced environment.
• Previous experience in hospitality, events, food service, or a related field preferred.

Responsibilities

• Ensure all catering orders are executed in accordance with maman’s brand standards and expectations.
• Assist with managing online Lunchbox catering orders daily, from initial customer request through completion as well as client correspondence.
• Assist the Senior Regional Catering Manager and Catering Manager by managing additional catering orders received outside of Lunchbox; Respond promptly to incoming catering requests and maintain strong relationships with clients.
• Review orders to ensure accuracy, including quantities, timing, delivery/pickup locations, and any special requests.
• Support with managing in-store catering platforms and ensure orders are communicated with the store team.

Position Summary

The Catering Coordinator supports maman’s day-to-day catering operations and works closely with the Executive Catering & Event Chef and Senior Regional Catering Manager. This role is responsible for coordinating catering orders, maintaining strong client relationships, communicating with store teams, and ensuring every catering experience reflects maman’s standards for quality, service, and brand identity. This position requires strong communication, problem-solving skills, a sense of urgency, and the ability to follow through from order placement through fulfillment.

Essential Responsibilities

Catering Operations & Order Management

• Ensure all catering orders are executed in accordance with maman’s brand standards and expectations
• Assist with managing and processing online {Lunchbox platform} catering orders daily, from initial customer request through completion as well as client correspondence
• Assist the Senior Regional Catering Manager and Catering Manager by managing additional catering orders received outside of Lunchbox; Responding promptly to incoming catering requests as well as maintaining strong working relationships with clients to ensure a welcoming and service-oriented experience
• Be responsible for carefully reviewing all orders to ensure accuracy, which includes verifying and communicating specific quantities, timing, delivery or pickup locations and any special requests or critical operational details
• Support with managing in-store catering platforms and ensure orders are accurately and efficiently communicated with the store team

• Post in store catering sales to the POS in a timely manner

• Maintain a thorough working knowledge of current menus, catering offerings and seasonal changes, ensuring all catering orders are executed in accordance with department timelines

• Perform additional catering-related duties and provide operational support as needed

Client & Store Relations

• Maintain clear and consistent communication with clients throughout the ordering and fulfillment process
• Build and maintain strong working relationships with clients, store teams, culinary teams, and catering leadership
• Address client concerns and troubleshoot issues promptly, professionally and effectively
• Review and verify kitchen orders, emails and in store catering ordering platforms for accuracy, identifying and correcting errors before they affect clients or business operations
• Support cross-functional projects and activations ensuring alignment with brand standards
• Support off-site catering events as needed
