Job summary

HEI Hotels & Resorts, overseeing Brickell Arch, a Luxury Collection Hotel in Miami, seeks a Catering Admin to support the catering department on-site. The role focuses on administrative efficiency, phone etiquette, contract handling, and client communications to ensure smooth event operations.

The position requires hotel experience and strong interpersonal skills to liaise with clients, vendors, and department heads while maintaining filing accuracy and timely documentation.

Qualifications

• Hotel experience preferred.
• Ability to effectively deal with internal and external customers, as well as vendors and department heads.
• Basic knowledge of mathematics and calculator skills to prepare mathematical calculations without error.
• Effective verbal and written communication skills. Ability to adapt communication style to suit different audiences.

Responsibilities

• Promptly answer telephone calls following HEI Hotels and Resorts and brand standards using clear and positive communication.
• Type correspondence, proposals and contracts as directed by management using typewriters and computers.
• Process contracts for relevant departments.
• Distribute memos, contracts, resumes, room requests and amenities to relevant departments throughout the hotel.
• Politely and professionally converse with clients. Respond to inquiries with accurate information and record in all relevant files.
• Promptly respond to requests for information on hotel facilities and menus.
• Maintain accurate payroll records, time sheets and distribute to finance in timely manner.
• Monitor and order necessary office supplies for department.
