Job summary

Theuniversityunion in Eaton Rapids, MI is seeking a Surgery Scheduler to coordinate daily surgical case scheduling using Meditech. You will liaise with surgeons, anesthesia, and staff to ensure room/equipment/staff availability and maintain clear communication across departments.

Responsibilities include preparing weekly schedules, chart assembly, and patient coordination, with emphasis on accuracy and confidentiality. Must have 2 years of medical setting experience and HS diploma.

Qualifications

• BLS within 90 days of hire
• High School Diploma or equivalent
• Medical terminology required
• Two (2) years medical setting experience
• Previous surgery scheduling experience preferred

Responsibilities

• Maintain ongoing communication with co-workers and supervisors to inform patient care and departmental concerns.
• Schedule daily surgical cases using Meditech, collecting required information and coordinating with physicians and staff.
• Serve as liaison between surgery/PACU/Outpatient Surgery and anesthesia; direct patients/families to physicians or nurses as needed.
• Coordinate weekly surgery schedules, distribute to departments, and adjust staffing with surgeons and reps to optimize efficiency.
• Provide clerical support to Surgical Services leadership; assemble statistics, schedules, and on-call rosters.
• Contribute to Quality Improvement and Job Hazard Analysis; report monthly statistics to Director.
• Demonstrate competency in required computer applications.
• Coordinate pre-op visits and assemble/register all surgery charts; ensure confidentiality.
• Greet and direct patients on day of surgery and communicate with families respectfully.

Description

• Effectively maintains ongoing communication with co-workers and supervisors, keeping them informed of pertinent information that effects patient care, physician issues, and/or other departmental areas of concern.


• Responsible for daily scheduling for surgical cases using the Meditech application, collecting required information, and conducting ongoing communication with physicians, surgery staff, anesthesia personnel, and other ancillary departments/employees as required.


• Serves as a liaison between surgery/PACU/ Outpatient surgery staff, surgery patients/families and anesthesia. Refers patients/families to physicians or nurse if unable to provide/satisfy patient needs or answer questions.


• Coordinates/produces surgery schedule weekly, distributing to necessary department/areas and making changes/notifications as needed. Coordinates with surgeons, reps and offices to determine the most efficient staffing of cases. Able to multi-task and prioritize assignments, meeting required deadlines.


• Provides clerical support to the Manager of Clinics/Surgical Services and surgical Services Supervisor as required, to assemble statistics, creates weekly surgery schedule and surgical on-call schedule and other tasks as assigned.


• Contributes to Quality Improvement and Job hazard Analysis processes for department. Reports monthly statistics to Director.


• Demonstrates competency in computer applications as required for job function.


• Collects data/clearances for pre-op nurses to review and coordinates pre-op visits by phone or in person when required. Assembles and registers all surgery charts accurately and efficiently.


• Greets, verifies information and directs patients in a professional manner on the day of surgery. Maintains communication with family members/friends, observing confidentiality.

Requirements

BLS required within 90 days of hire and maintained throughout employment. High School Diploma or equivalent. Medical terminology required. Two (2) years medical setting experience. Previous surgery scheduling experience preferred.

Summary

Coordinates surgery schedule, collecting required information and communicating with necessary departments to ensure necessary room availability, equipment, and staffing. Serves as a liaison between surgery/PACU/ Outpatient Surgery staff and patients/families/significant others. Registers and assembles all surgery charts. Responsible for completing end of the month statistics for surgical and endoscopy cases. Responsible for distributing weekly surgery schedule and monthly surgery on-call schedule to appropriate areas. Works cooperatively with staff and physicians to achieve the highest quality of care for patients. Performs other related responsibilities when necessary as assigned by the Surgical Services Supervisor or Manager. Responsible for inputting all patients charges within a specified timeframe. Identifies health and safety concerns and unsafe work practices within the workplace. Is involved in developing safe work practices and is held accountable for the day to day efforts of ensuring a safe workplace by following safe work practices.
