Job summary

Options For All in Nor Cal Bay Area (San Jose, CA) is hiring a Case Manager to support program operations for individuals with disabilities. This full-time, day-shift role involves administrative duties, field-based coaching, and ensuring high-quality service delivery across the region.

You will work closely with the Area Manager, travel between sites, track schedules, and assist with budgeting, reporting, and staff training while upholding our mission of dignity, inclusion, and respect.

Qualifications

  • 90+ college units OR a minimum of 3 years hands-on experience with individuals with disabilities.

Responsibilities

  • Provide administrative and programmatic support to the Area Manager for program operations.
  • Monitor daily program support, supervision, and instruction for participants with IDD.
  • Track staff and participant schedules to ensure quality and efficient service delivery.
  • Supervise program staff and ensure daily report entries are complete and detailed.
  • Assist with supervision of planning, coordination, and delivery of program services and curricula.
  • Assist with budgetary, billing, and payroll support functions.
  • Provide direct support to participants in field and remote settings as needed.
  • Prepare reports on staff and participants and manage reporting across schedules and data systems.

What you’ll be doing

As a Case Manager, you will provide administrative and programmatic support to the Area Manager for the operations of programs, client management and support of program staff. The Case Manager provides jobsite-based support, coaching and work direction, and instruction to clients with intellectual and/or developmental disabilities (IDD) within the program.

In this role, you will:
  • Serve as administrative and program support to overall program and operations.
  • Monitor the delivery of daily program support, supervision, and instruction to participants with intellectual and physical disabilities.
  • Track daily programming schedules of staff and participants to ensure compliance, quality, and efficiency of service delivery.
  • Acts as a supervisory role and support for program staff and ensure completion of daily report entries with adequate detail of engagement.
  • Assist the Area Manager with the supervision of the planning, coordination, and delivery of program service, initiatives, curricula, and activities for participants in-person and remotely.
  • Assist with budgetary, billing, and payroll support functions.
  • Serve as backup to provide direct support to participants in field and/or remotely as needed.
  • Complete and prepare reports on staff and participants.
  • Oversees the management of daily, weekly and monthly schedules for staff and participants.
  • Oversee required data reporting and tracking of staff, participants, and programs.
  • Assist Direct Support Professionals in the creation and delivery of functional curriculum for participant activities as needed.
  • Collaborate with teams and committees as assigned.
  • Ensure program compliance with regulations, policies, guidelines, and procedures (Quality Assurance).
  • Provide oversight and support for curriculum and program activities.
  • Provide training and safety program coordination for staff.
  • Work in collaboration with Area Manager in marketing efforts.
  • Follow-up with staff deadlines for administrative responsibilities.
  • Assist with new employee orientation and training at job sites and in community activities.
  • Train and support new staff in various required areas of program operations (database management and payroll systems, safety documentation, policies and procedures, on-the-job training and support).
  • Act as liaison between DSPs and Area Manager.
  • Work closely with Area Manager to develop and complete required documentation and reports for service line.
  • Manage the system of collecting organizational (internal & external) metrics consistently and accurately in database management system (intake paperwork, renewals, ISPs, semi-annuals, SIR/APS/Program reports and behavior support plans).
  • Manage the system of reporting data collected to all interested parties.
  • Ensure staff complete daily reporting requirements and conduct frequent audits to ensure quality and reporting compliance.

This is a community-based role and includes regular driving between locations. What we’re looking for

Qualifications
  • 90+ college units OR,
  • Minimum of 3 years hands-on experience working with individuals with a wide range of intellectual & physical disabilities, including individuals with the most intensive support needs.

  • Strong program development and personnel management skills.
  • Ability to create and deliver creative, engaging, and educational lesson plans using best practices in developing program curricula as a guide.
  • Ability to diffuse crisis situations and apply problem solving strategies.
  • Strong organization and administrative skills.
  • Detail-oriented, ability to multi-task and manage time well.
  • Excellent interpersonal skills.
  • Proficient in Microsoft Suite.
Employment Requirements
  • Acceptable driving record.
  • Ability to travel within and throughout the region where services are provided.
  • Ability to travel in and throughout the state as needed to attend meetings.
  • Successful completion of background check.
Physical Demands & Work Environment

This position requires the employee to regularly stand, walk, sit, talk and hear. The employee must be capable of writing, using a computer keyboard, telephone and related office equipment. Ability to lift 10lbs. required. The physical demands are representative of those that must be met by an employee to successfully perform the essential functions of this job.
