Qualifications

  • Bachelor’s degree in a related field or equivalent experience.
  • Two years experience in health care, elder care, social work, or related industry preferred.
  • One year of scheduling experience in health care or human services using an online system preferred.
  • Up to one year of supervisory experience preferred.
  • Ability to multi-task and work under pressure with deadlines.
  • Strong written and verbal communication with clinical and non-clinical staff.
  • Proficient computer skills and timely note documentation.
  • Valid Driver’s License and proof of insurance.

Responsibilities

  • Train and supervise caregivers, providing guidance and support to ensure compassionate care.
  • Provide supervision, coaching, and corrective action as needed for duties.
  • Conduct performance evaluations and development plans.
  • Match caregivers to clients based on needs, skills, and availability.
  • Develop and manage caregiver schedules and respond to emergencies.
  • Coordinate with administrative staff for seamless communication and workflow.
  • Ensure compliance with organizational standards and state regulations.
  • Implement quality improvements based on feedback and evaluations.
  • Support ongoing caregiver training and licensing/compliance upkeep.
  • Serve as main contact for caregiver communications and resource requests.
  • Maintain accurate caregiver profiles, timekeeping, and availability.
  • Enter client and caregiver scheduling information into systems and update as needed.
  • Review caregiver payroll and approve timekeeping and time off requests.
  • Schedule client visits according to care plans and staff availability.
  • Document concerns from clients and identify trends for improvements.
  • Educate on scheduling accuracy, rates, personnel, and care notes to meet payroll/billing deadlines.
  • Meet caregiver retention goals and implement retention plans.
  • Support workers' compensation claims from start to finish with compliance.
  • Collaborate with Workers' Compensation team on regulatory requirements.
  • Ensure health and safety regulations are followed to maintain a secure workplace.
  • Provide on-call and after-hours support as needed.

The Role

The Caregiver Manager plays a pivotal role in overseeing and coordinating caregiving services within TheKey. This role will manage and support caregivers, ensuring the delivery of high-quality care to clients. The Caregiver Manager is responsible for coordinating the daily schedules of assigned caregivers and clients. This role will ensure that all shifts are staffed accurately, and appropriately and will work to drive high-quality service to our caregivers and the clients they support. The Caregiver Manager will ensure that the caregiver experience is supported by providing exceptional onboarding, compliance, and ongoing training.

The ideal candidate will have experience in health care, elder care, social work, or a related industry. Scheduling experience in a healthcare setting is highly preferred. Superior proficiency in both written and verbal communication is essential for effective engagement with clinical and non-clinical stakeholders. Candidates are expected to leverage AI tools strategically and responsibly to enhance efficiency, improve client outcomes, and support data-informed decision-making. Caregiver Manager Duties and Responsibilities
  • Train and supervise caregivers, providing guidance, mentorship, and support to ensure they deliver compassionate and effective care to clients.
  • Provide supervision to the caregivers, including coaching, counseling, and corrective action, ensuring the caregivers are fully prepared for assigned duties
  • Conduct performance evaluations, offer feedback, and implement development plans to enhance caregiver skills and performance.
  • Ensure that caregivers are matched appropriately with clients based on the needs of the client, the caregivers' skills, experience, and availability.
  • Develop and manage caregiver schedules, ensuring adequate coverage for all clients and responding promptly to changes or emergencies.
  • Coordinate with administrative staff to facilitate seamless communication and efficient workflow between caregivers and the office.
  • Conduct regular assessments of care services to ensure compliance with established organizational standards and state regulations.
  • Implement quality improvement initiatives based on feedback and evaluation results to enhance the quality of care provided.
  • Support and facilitate ongoing training for caregivers to enhance their skills
  • Ensure caregivers are up to date in their licensing and compliance
  • Serve as point of contact for caregivers in communications and/or troubleshooting when trying to resource assistance from benefits, payroll, and corporate human resources
  • Maintain accurate records ensuring that caregiver profiles, timekeeping, and availability are kept up to date.
  • Responsible for properly entering client and caregiver scheduling information into appropriate systems and updating as necessary.
  • Review caregiver payroll, including timekeeping, time off requests and approve daily/weekly for payroll processing.
  • Schedule client visits according to care plans and staff availability
  • Document incoming concerns from clients and report to management as applicable; identify trends and offer suggestions to improve the overall effectiveness of Caregivers
  • Understand client and caregiver schedules including educating on the importance of accuracy in schedules, rates, personnel, and care notes, meeting payroll and billing deadlines
  • Meet caregiver retention guidelines, and develop and implement retention improvement plans.
  • Support workers' compensation claims from start to finish, ensuring timely and accurate processing.
  • Work closely with our Workers' Compensation team to ensure compliance with all workers' compensation laws and regulations.
  • Comply with all relevant health and safety regulations to maintain a secure workplace for all staff
  • On-call and after-hours support as needed
Required Skills, Education, and Certifications
  • Bachelor’s degree in a related field or equivalent experience
  • Two (2) years experience in health care, elder care, social work, or related industry preferred
  • One (1) year of scheduling experience in a health care or human services setting using an online scheduling system is preferred
  • Up to one (1) year of supervisory experience preferred
  • Ability to multi-task, work under pressure with changing priorities and stated deadlines, and effectively handle a heavy workload
  • Ability to effectively communicate, both orally and in writing, with clinical and non-clinical personnel
  • Computer proficiency and ability to document timely and accurate notes in the system
  • Current Driver’s License and proof of insurance.
Physical Requirements
  • Ability to travel approximately up to 10% of the time
  • Ability to lift and carry up to 15-20 pounds
  • Ability to sit, stand, and walk for prolonged periods of time throughout the workday
  • Ability to use standard office equipment
